Job description

Summary of Purpose :

The Human Resources Coordinator reports to the manager of Talent & HR Services. This person coordinates, oversees, and performs a wide variety of administrative support activities for the Human Resources functional area.

Essential Functions

  • Provides administrative support to HR department and team members, such as meeting logistics, filing, records storage, and supply maintenance
  • Inputs and maintains records of qualification cards for all employees
  • Processes employment verifications
  • Distributes new and exiting employee checklists to applicable employees / managers; maintains ownership over the checklist templates and updates when needed
  • Coordinates with Employee Development and FFD / UA departments to share new employee information
  • Processes and files I-9 forms and e-Verify cases
  • Conducts regular I-9 audits
  • Ensures new hire and termination packets are created and all documents are maintained and up to date
  • Schedules interviews for all internal and external candidates
  • Supports the HR department in maintaining applicant records
  • Coordinates with HR Business Partners to both distribute and collect interview guides and summary sheets from interview panels as needed
  • Assists with HRIS related requests by activating and resetting accounts, processing AWS requests, approving timesheets, assigning delegations and answering general HRIS-related employee questions
  • Ensures accurate entry of appropriate data into HRIS
  • Maintains various Human Resources, employment, wellness, and benefits related files
  • Keeps file storage accurate and up to date by maintaining current filing system, performing regular audits and correcting any discrepancies
  • Responds to routine employee and management inquiries and requests concerning the Hurman Resources function
  • Refers escalated issues to appropriate HR team member
  • Maintains SharePoint with up-to-date materials to support the HR function with guidance from the appropriate HR team member
  • Administers employee surveys as necessary (new hire, exit, six month, etc.)
  • Collects and distributes HR mail and correspondence
  • Other duties as assigned

Knowledge, Skills, and Abilities

  • Ability to work and maintain confidentiality of highly sensitive, private information
  • Strong knowledge and proficiency in Microsoft Office 365, including Word, Excel, Outlook, OneNote, PowerPoint, Teams, and SharePoint
  • Strong knowledge of scheduling and managing virtual meetings using Zoom, Teams, WebEx and other virtual meeting platforms
  • Strong verbal and written communication skills to interact professionally with colleagues and external contacts
  • Strong organizational, time-management, problem-solving, and decision-making skills
  • Prior experience working within an HRIS
  • Ability to maintain strong attention to detail (minimal errors) and produce high quality work products
  • Ability to effectively learn, use, and manage technology
  • Ability to work independently as well as in teams / groups
  • Education, Licenses, and Certifications

    Required

  • High School Diploma or GED
  • Preferred

  • Bachelor's degree from an accredited institution
  • Experience

    Required

  • At least one year of administrative experience supporting an HR function
  • Preferred

  • At least two years of administrative support experience
  • Advanced skills in Microsoft Office products
  • Additional Requirements

    Work Context

  • Must be able to work prolonged periods of sitting at a desk and working on a computer
  • Must be able to work under minimal supervision
  • Must be able to sit, stand, walk, stoop, kneel, crouch, climb, and crawl
  • Must be able to lift 25 pounds
