Human Resources Coordinator
This is a full-time position based out of our Irvine office.
Senior Living experience a plus.
Pay range : $32.00 - $35.00 an hour
The Human Resources Coordinator supports the human resources department and its functions, programs and processes for all team members assigned to the home office, stabilized, and acquisitions. This role also provides direct support to Community Business Office Directors in their administrative functions. All responsibilities must be completed in accordance with Company policies and procedures, current standards, guidelines, and regulations.
Responsibilities :
- Serve as onboarding champion for all home office and Executive Director team members; complete all offer letters, oversee onboarding requirements, and follow up and professionally communicate with new hires, establishing a positive initial working relationship with the Company.
- Oversee and ensure all home office, regional, and Executive Director hires have appropriate and timely clearances per state requirements.
- Prepare and coordinate all licensing requirements for Executive Director positions in partnership with the Regulatory and Quality Assurance department.
- Collect documentation and coordinate all criminal background clearances or criminal record exemptions for all required positions, including but not limited to Executive Directors and Regional team members.
- Support acquisitions including planning, new hire onboarding, paperwork, communication, and events; some travel may be required.
- Work collaboratively with other members of the HR team to ensure overall customer service and satisfaction of team members with HR services; leads and provides oversight for assigned special projects that may cross functions and disciplines.
- Train Business Office Directors on the Leave of Absence Administration process. Partner with Communities to ensure leaves are opened and closed timely.
- Coordinate vendor and community relationship for leave of absence claims including updating contact changes.
- Submit monthly Leave Benefits Plan report to the leave of absence billing Administrator. Partner with the Benefits department to ensure timely processing of payments, benefits continuation, and discontinuation.
- Train Business Office Directors on the I-9 management portal.
- Conduct internal I-9 and other HR audits as needed, developing and engaging training for Business Office Directors to ensure compliance with Federal Laws.
- Completes I-9 process and all other new hire requirements for assigned Home Office team members.
- Manage employee programs (communicating with vendors, communities, and leadership), to include Tuition Reimbursement, Oakmont Family Fund, and Team Member Referral Program.
- Coordinate vendor and community relationship for all unemployment claims including updating contact changes and training team members on managing unemployment claims through the third-party administrator. Manage community unemployment claim response participation.
- Create and maintains personnel files for Executive Directors and all home office team members.
- Proficiently use Applicant Tracking System (ATS) to move candidates from offer of employment through to hire; uses HRIS / Payroll system for transfers, promotions, terminations, etc.
- Receive and respond to general inquiries for calls to the home office human resources department, routing and escalating calls appropriately.
- Other duties as assigned.
