Job description

Events Manager

The ASU Foundation (ASUF) fosters partnerships between ASU and like-minded individuals, corporations and foundations who believe in ASU’s mission and provide resources for ASU to manifest its charter into meaningful impact.

The events manager will plan and execute high-quality strategic donor / prospect events. Responsibilities will include planning event logistics, administrative duties, budgeting and continual communication with colleagues and vendors throughout the event planning process.

What you'll do :

  • Manages and coordinates development and stewardship events including but not limited to football initiatives, presidential trips, engagement programs and donor recognition events
  • Interacts and builds partnerships with ASUF development teams, foundation initiatives, engagement programs, donor relations, ASUEP, President’s office, and university leaders and event partners to advance ASU Foundation events
  • Completes event planning forms for all events and projects as assigned and plans and coordinates site visits
  • Creates and monitors special event budget and timeline, and assists with vendor payments, monthly expense reports, and management of events master calendar
  • Assists with coordinating and managing Eventbrite for the ASU Foundation events team; troubleshoots issues as needed
  • Prepares appropriate background and support documents including bios, event briefs, event summaries, budget estimates / actuals, etc. for events team, partners, vendors and leadership
  • Schedules Zoom calls and / or meetings, coordinates logistics and prepares event materials for meetings as required
  • Manages inventory of event supplies and replenishes as needed for events including name badges, name tents, disinfectant supplies, pens, pencils, decor, etc.
  • Builds and maintains databases / records of information for event planning resources
  • Plans and coordinates venue site visits
  • Completes budget estimates and update with post-event actual costs
  • Manages vendor payments and monthly expense reports
  • Assists with management of events master calendar
  • Coordinates the event registration process including creating registration links for invites, tracking and communicating RSVPs, printing name badges, and scheduling staff / volunteers for onsite event check-in support
  • Coordinates and creates RSVP lists, registration data and seating assignments
  • Supports events team in sourcing new vendors
  • Stays current on event polices and procedure in the events industry and across the university
  • Organizes and reconciles event project files
  • Other duties as assigned

What you'll need :

  • Skilled project leader, highly organized and able to handle multiple projects simultaneously
  • Skilled in preparing and administering budgets
  • Excellent organization and prioritization skills, able to balance multiple priorities in a fast-paced environment, with a high attention to detail and thoroughness in completing assigned tasks
  • Ability to work both independently and as part of a team to set priorities and manage multiple projects simultaneously with competing deadlines
  • Ability to work collaboratively with colleagues, volunteers, vendors, and donors
  • Ability to be a creative thinker as well as practical implementer
  • Ability to maintain a high degree of confidentiality and responsibility regarding information related to Foundation and University business and confidential donor and prospect information
  • Strong and collegial interpersonal skills and an ability to communicate effectively in person, in writing and by phone at the highest levels
  • Ability to represent the institution well and display strong interpersonal skills for building lasting donor relationships
  • Team oriented strategist able to effectively manage complex situations involving numerous and sometimes competing constituencies
  • Attention to detail and thoroughness in completing assigned duties
  • Ability to mentor student workers
  • Adept at navigating complex environments with evolving priorities and communications
  • Ability to interact with all levels of the organization
  • Ability to interact with poise and grace with all donors
  • Provide excellent customer service
  • Ability to possess and demonstrate significant conceptualizing, planning, and implementing events of all dimensions and scope
  • Ability to set priorities and organize workload for effective implementation
  • Must be willing to work flexible hours, including evenings and weekends
  • Advanced computer skills in a variety of Windows-based computer programs and technical proficiency in Microsoft Word, Excel and PowerPoint
  • Relevant qualifications :

  • Bachelor’s degree
  • Minimum of four (4) years of event plaining / event management experience
