We are partnering with a prestigious engineering firm in Bryan / College Station to find an experienced and highly organized Executive Assistant. The ideal candidate will possess a Bachelor's degree and have a minimum of 3-5 years of experience as an Executive Assistant, preferably within a technical or engineering environment.
Responsibilities :
Administrative Support : Provide comprehensive administrative support to senior executives, including managing schedules, organizing meetings, preparing correspondence, and handling confidential information with discretion.
Calendar Management : Efficiently manage and coordinate executive calendars, ensuring all appointments, meetings, and events are scheduled, updated, and communicated effectively.
Communication : Serve as the primary point of contact between executives and internal / external stakeholders. Handle communications promptly and professionally.
Travel Arrangements : Coordinate and book travel arrangements, including flights, accommodation, transportation, and itineraries, ensuring seamless travel experiences for executives.
Documentation : Prepare and edit documents, reports, and presentations. Ensure all materials are accurate and submitted within deadlines.
Meeting Coordination : Organize and coordinate meetings, conferences, and events, including preparing agendas, taking minutes, and following up on action items.
Project Management : Assist in the planning and execution of various projects and initiatives, tracking progress and ensuring timely completion.
Office Management : Oversee office operations, maintain office supplies, and ensure a well-organized and efficient work environment.
Data Management : Maintain and update records, databases, and filing systems, ensuring easy retrieval and confidentiality of information.
Special Projects : Undertake special projects and assignments as directed by executives, demonstrating flexibility and a proactive approach.
