Primary Purpose of the Organizational Unit :

The Joint School of Nanoscience and Nanoengineering (JSNN) is a collaboration of North Carolina A&T State University and The University of North Carolina at Greensboro. JSNN’s research and educational programs focus on the emerging areas of nanoscience and nanoengineering. The strengths of the two universities in the basic sciences and in engineering make them ideal partners for this new, interdisciplinary school. JSNN faculty and students will be able to access laboratories and classrooms at NC A&T, UNCG as well as the leading edge JSNN faculty at the Gateway University Research Park.

Nanotechnology is often referred to as convergent technology because it utilizes knowledge from a diverse array of disciplines including biology, chemistry, physics, engineering, and technology. Nanotechnology is rapidly becoming a large part of the world’s economy, generating an array of materials, technologies, and new products. JSNN’s Professional Master of Science in nanoscience and PhD in nanoscience degree programs have been developed to meet the need for trained professionals in the emerging high technology industries using nanotechnology.

JSNN has six research focus areas—nanobioscience, nanometrology, nanomaterials (with special emphasis on nanocomposite materials), nanobioelectronics, nanoenergy, and computational nanotechnology. These technical areas will afford numerous opportunities for collaboration with industrial partners.

Position Summary :

The role of this position is defined and impacted by the mutual working relationship established with the administrator. (“right-hand” to the administrator) These positions serve as the principle personal and administrative support. Work ranges from standardized office support assignments to performance of administrative duties involving decision-making and judgment. Public contact is a major component of positions, both internal and external to the organization. Work requires contact with program staff, managers of other units within the organization, representatives of other state agencies / universities, clients, service recipients, elected / appointed representatives, and the public. May coordinate business functions of the unit that include personnel administration, office coordination, and budget monitoring or management.

Minimum Qualifications :

HIGH SCHOOL DIPLOMA OR EQUIVALENCY AND THREE YEARS OF PROGRESSIVELY RESPONSIBLE ADMINISTRATIVE / OFFICE MANAGEMENT EXPERIENCE; OR GRADUATION OR ASSOCIATE’S DEGREE IN SECRETARIAL SCIENCE, BUSINESS ADMINISTRATION, OR A RELATED DISCIPLINE AND ONE YEAR OF PROGRESSIVELY RESPONSIBLE ADMINISTRATIVE / OFFICE MANAGEMENT EXPERIENCE; OR BACHELOR’S DEGREE, PREFERABLY IN BUSINESS ADMINISTRATION OR A RELATED DISCIPLINE; OR EQUIVALENT COMBINATION OF TRAINING AND EXPERIENCE. ALL DEGREES MUST BE RECEIVED FROM APPROPRIATELY ACCREDITED INSTITUTIONS.

Preferred Qualifications :

  • Education : A Bachelor’s Degree in Business Administration, Communication, English, or other relevant field.
  • Project Management Experience : The Executive Assistant must have a demonstrated history of managing projects through all phases of development.
  • Must be able to concisely, but accurately tailor communications to dynamic audiences, often with little notice.
  • The Executive Assistant must be able to communicate — both orally and written — with a wide-range of constituents.
  • Advanced experience with Excel spreadsheets : A successful candidate should be comfortable with manipulating formulas, creating charts from data, and synthesizing information from spreadsheets.
  • A successful candidate should have prior experience building PowerPoint presentations

    Essential Tasks :

  • Managing calendar.
  • Handling phone calls and messages, greeting visitors,
  • Coordinating travel logistics and helping to arrange visits. Responsible for pre-approval of travel, travel payments and reimbursements expenses for the Department Chair
  • Serve as a liaison with various departments as well as external contacts and with University leadership units.
  • Demonstrates the knowledge of nuances, appropriate protocol, and specific preferences of the Department Chair and constituents and has authority to use discretion and critical decision making and judgment in all forms of communication.

  • Manage projects through to successful completion.   • Review and edit materials for department – Program Review, Graduate Student Handbook, Promotion and Tenure files, annual review reporting, strategic planning reports etc.
  • Ensure Class climate is set up and administered each semester.
  • Work with faculty to get access and pull reports as needed.
  • Update Activities Insight for faculty involved in pilot.
  • Give tours to external users and support getting exposure for JSNN to new users.
  • Point person in department for completing and submitting forms to curriculum committee (New Course form, Change of course forms, etc.).
  • Complete all student support paperwork to Graduate School and Contracts and grants (if needed) for assistantship and tuition funding.
  • Complete graduation audits in department for Graduate School and have DGS sign-off
  • Plan and organize activities for NS and NE department.
  • Set-up and take down and other duties as requested for activities held at JSNN (SENIC Annual board meeting, NC Science Festival, Communicating Science Workshop, etc.)
