JOB DESCRIPTION: EXECUTIVE ASSISTANT (CHILDREN'S FASHION COMPANY)
We are seeking a dynamic and versatile Executive Assistant to provide comprehensive support to our executive team in a fast-paced children's fashion company. As an Executive Assistant, you will play a crucial role in ensuring the smooth functioning of the organization by assisting the executive with a wide range of tasks and responsibilities across various departments. Your ability to multitask, anticipate needs, and maintain a high level of professionalism will be vital to your success in this position.
Responsibilities:
- Administrative Support: Provide exceptional administrative support to the executive by managing calendars, scheduling appointments, arranging travel logistics, and organizing meetings. Assist with drafting and preparing correspondence, reports, presentations, and other documents as required.
- Communication and Correspondence: Serve as the primary point of contact for internal and external stakeholders, including clients, vendors, and partners. Manage incoming and outgoing communications, ensuring prompt and professional responses on behalf of the executive. Maintain confidentiality and exercise discretion when handling sensitive information.
- Departmental Support: Collaborate closely with various departments, including design, production, marketing, and sales, to understand their specific needs and provide assistance as required. Coordinate cross-functional projects and ensure effective communication and collaboration among team members.
- Research and Analysis: Conduct research on industry trends, competitors, and market insights to support the executive in making informed business decisions. Compile data, create reports, and present findings in a clear and concise manner.
- Event and Project Coordination: Assist in the planning, coordination, and execution of company events, fashion shows, product launches, and other promotional activities. Manage project timelines, track progress, and ensure timely completion of deliverables.
- Office Management: Maintain an organized and efficient office environment by managing supplies, equipment, and office vendors. Assist with onboarding new employees, coordinating office moves, and implementing administrative processes and procedures.
- Special Projects: Take on special projects and assignments as delegated by the executive. These may include process improvement initiatives, market research, or other ad hoc tasks related to the company's strategic goals.
Requirements:
- Bachelor's degree in business administration, fashion, or a related field (preferred).
- Proven experience as an executive assistant or in a similar role, preferably within the fashion industry.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines.
- Excellent written and verbal communication skills, with exceptional attention to detail.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
