Project Administrator

The Opportunity: Tetra Tech is adding a Project Administrator to our Program Management team based onsite at Nellis Air Force Base in Nevada. This position provides full-time administrative and team coordination support for a major design and construction program and works directly with Government stakeholders and the embedded Tetra Tech program team.

Position Summary: Tetra Tech is seeking a Project Administrator to provide full-time onsite administrative and team coordination support for a major design and construction program at Nellis Air Force Base. This highly visible role supports Government stakeholders and the embedded Tetra Tech team through meeting coordination, document and action management, calendar support, correspondence, visitor and workspace logistics, and day-to-day office operations. Success in this position requires exceptional organization, responsiveness, discretion, professionalism, and a service-oriented approach. The Project Administrator must be comfortable working directly with Government and contractor personnel in a fast-paced, client-facing environment.

Essential Job Functions: The following duties are considered essential to the role. Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions:

  • Provide daily onsite administrative support to Government stakeholders and the Tetra Tech program team, serving as a responsive and professional point of coordination for routine program needs.
  • Coordinate calendars, meetings, conference rooms, agendas, attendance, meeting materials, minutes, action items, and follow-up communications.
  • Maintain organized program files, correspondence, contact lists, trackers, logs, and records in accordance with established PMIS and document-control processes.
  • Support the preparation, formatting, routing, and distribution of reports, presentations, letters, meeting packages, and other program documentation.
  • Coordinate onsite logistics, including visitors, badging and access coordination, workspace needs, supplies, equipment, deliveries, and team events as assigned.
  • Handle sensitive or time-critical information with discretion and maintain appropriate confidentiality.
  • Anticipate team needs, track follow-up items, and help maintain a welcoming, organized, and high-performing onsite environment.
  • Communicate professionally with Government stakeholders, contractors, consultants, vendors, and Tetra Tech personnel while providing responsive customer service.

Required Qualifications: Candidates must possess the following qualifications to be considered for the position:

  • High school diploma or equivalent; an associate or bachelor's degree may substitute for or complement relevant professional experience.
  • 5+ years of experience in administrative support, project coordination, office management, executive support, or a similar professional role.
  • Strong interpersonal, customer-service, written communication, organization, prioritization, and follow-through skills.
  • Ability to manage multiple priorities, meet deadlines, and maintain accuracy in a fast-paced team environment.
  • Proficiency with Microsoft Outlook, Teams, Word, Excel, and PowerPoint.
  • Ability to learn and use project-specific systems, PMIS platforms, document-control procedures, and administrative workflows.
  • Must be a U.S Citizen
  • At least one year of prior experience in consulting and/or Department of Defense contracting.
  • A valid driver's license and clean driving record is required for this position

Preferred Qualifications:

  • Current or recent Nellis Air Force Base access, Common Access Card experience, or familiarity with Department of Defense installation access and administrative processes.
  • Experience supporting the U.S. Air Force, Department of Defense, engineering or construction programs, or a client-facing project office.
  • Experience coordinating executive meetings, Government or contractor communications, visitor access, office logistics, or project documentation.
  • Familiarity with document-control systems, PMIS platforms, meeting management, action-item tracking, or project reporting.

Work Environment / Environmental Factors: The work environment characteristics described here are representative of those encountered while performing the essential functions of the job. Reasonable accommodations may be made.

  • The position is primarily performed in an indoor office and meeting environment on Nellis Air Force Base. The role requires periodic movement between offices, conference spaces, and active design and construction areas.
  • Occasional exposure to outdoor desert weather, construction noise, dust, uneven surfaces, and other normal active-site conditions may occur.
  • Appropriate site-specific safety practices and personal protective equipment requirements will apply when visiting active project areas.

Physical Requirements:

  • Prolonged periods of sitting or standing at a desk and using a computer.
  • Frequent communication in person, by telephone, and electronically.
  • Frequent movement within office, meeting, and project environments.
  • Occasional walking through active project sites, using stairs, bending, and carrying routine office or field materials weighing up to 20 pounds.
  • Ability to perform the essential functions of the position with or without reasonable accommodation.

Additional Information:

  • This is a full-time, onsite position based at Nellis Air Force Base, Nevada.
  • The standard work schedule is generally Monday through Friday during normal business hours. Flexibility may be required for early morning or late meetings, project milestones, critical issues, or extended hours based on program needs.
  • Local travel within the Las Vegas and Nellis area may be required.
  • Occasional travel to other project sites, client locations, or Tetra Tech offices may also be required.
  • The pay range for this position is between $75,000 to $90,000 annually. However, the pay offered may vary depending on primary work location, job-related knowledge, skills, experience, and internal parity
