Job Title : Maintenance Planner / Scheduler

Department : Maintenance

Reports To : Maintenance Manager

Job Summary :

The Maintenance Planner / Scheduler is responsible for improving the productivity and work quality of the maintenance team by anticipating and eliminating potential delays through planning and coordinating maintenance activities. This role involves developing and maintaining detailed maintenance schedules, coordinating with various departments, and ensuring that all maintenance tasks are performed efficiently to minimize downtime and maintain equipment reliability.

Key Responsibilities :

Work Order Planning :

  • Review incoming maintenance work requests and determine resource requirements (labor, tools, equipment, and materials).
  • Develop detailed job plans, including step-by-step instructions, necessary permits, safety precautions, and special equipment requirements.
  • Prioritize and group work orders for efficient scheduling and resource allocation.

Scheduling :

  • Develop weekly, monthly, and long-term maintenance schedules for preventive, corrective, and emergency maintenance tasks.
  • Coordinate with production, operations, and other departments to minimize equipment downtime while ensuring that production schedules are maintained.
  • Adjust schedules as needed based on equipment availability, production demands, and emergency breakdowns.
  • Materials and Spare Parts Coordination :

  • Ensure that all necessary parts, tools, and equipment are available and on-site before scheduled maintenance activities begin.
  • Maintain communication with procurement and the storeroom to ensure timely delivery of materials and spare parts.
  • Resource Management :

  • Coordinate the allocation of manpower and resources to ensure that all maintenance tasks are completed on time and within budget.
  • Ensure that skilled technicians and appropriate teams are assigned to each task based on their experience and qualifications.
  • Documentation and Reporting :

  • Maintain accurate records of work orders, job plans, maintenance activities, and associated costs.
  • Provide reports on completed work, backlog, equipment downtime, and other maintenance performance metrics.
  • Use the Computerized Maintenance Management System (CMMS) to manage work orders and job plans.
  • Continuous Improvement :

  • Analyze maintenance activities, looking for opportunities to improve efficiency, reduce costs, and extend the life of equipment.
  • Work with the maintenance team to optimize preventive maintenance schedules and processes to minimize equipment failures.
  • Identify and recommend improvements to existing maintenance procedures.
  • Safety and Compliance :

  • Ensure that all maintenance activities are conducted in compliance with company safety standards and regulatory requirements.
  • Collaborate with safety teams to ensure that all jobs have appropriate safety instructions and permits.
  • Qualifications : Education :

  • High School Diploma or equivalent required.
  • Bachelor’s degree in Engineering, Maintenance Management, or a related field preferred.
  • Experience :

  • 3-5 years of experience in maintenance planning, scheduling, or coordination in an industrial or manufacturing environment.
  • Experience with CMMS or other maintenance management software.
  • Skills and Competencies :

  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Problem-solving abilities with a focus on detail and accuracy.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Proficiency with MS Office Suite (Excel, Word, Outlook).
  • Knowledge of maintenance practices and procedures, particularly in an industrial setting.
  • Working Conditions :

  • The position is typically performed in an office environment with some exposure to industrial environments.
  • Occasional fieldwork may be required to inspect equipment and coordinate on-site activities.
  • May require occasional lifting of parts or materials.
  • Physical Requirements :

  • Ability to stand, walk, or sit for extended periods.
  • Occasional lifting of up to 25 pounds.
