Description

Perform a variety of administrative and clerical functions, including providing assistance to Fleet Management customers and personnel, processing of accounts payable, and entering and retrieving data from Fleet Management software. Serve as the Secretary for the Division’s Safety Committee.
Duties
The following duty statements are illustrative of the essential functions of the job and do not include other non-essential or marginal duties that may be required. The County reserves the right to modify or change the duties or essential functions of the job at any time.
- Receive, scan, verify, process, and data enter a high volume of invoices initiated by the Fleet division into the County financial system.
- Prepare purchase order requests in the County Enterprise Buyers Procurement (SAP / EBP) system.
- Call vendors to obtain invoices when necessary. Answer and respond to inquiries from vendors verifying payment using the County financial system.
- Perform receptionist duties for the Fleet division. Greet vendors, co-workers and customers and give proper direction to Fleet or other County Departments or Offices. Answer telephone, route calls and take messages as appropriate.
- Secretary to division Safety Committee, prepare and distribute agenda and materials to Fleet personnel, take and distribute minutes and resolutions of meetings, prepare materials for meetings, and research assigned topics.
- Type correspondence and forms as necessary.
- Maintain and order office supplies.
- Operate basic office equipment, including computer, calculator, scanner, copier, fax machine and printer.
- Sort, route, and prepare mail for delivery. Deliver mail to appropriate mailboxes.
- File all necessary Fleet documents to include minutes from meetings, invoices, vehicle registrations, etc.

This position requires the successful completion of a pre-employment background check and motor vehicle (MVR) check.
Must possess or have the ability to obtain, a Class "R" Colorado driver's license within two weeks of appointment. A good driving record is required.
