Job Description

NYC Health + Hospitals, the nation’s largest municipal health care system, is seeking an Assistant Director of Philanthropy Writing and Research to join its growing Philanthropy team. This position will support the team in all grants-related activities, including prospect research, grant monitoring, and compliance. This role offers an opportunity to learn about, and become involved in, grant writing and grants management, with the potential to build a small portfolio of institutional donors.

The Assistant Director must be highly organized and detail oriented, with strong analytical skills and the ability to prioritize multiple tasks. Exceptional writing and interpersonal skills are required, including the ability to communicate effectively with a high degree of professionalism across multiple departments and diverse stakeholders. The ideal candidate is someone who is proactive, a problem solver, energetic, well organized, and is able to multi-task, learn quickly, and work collaboratively. A demonstrated commitment to NYC Health + Hospitals’ mission of health equity, social justice, and the communities served by the organization is also required.

Tasks and responsibilities will include :

Donor Research and Data Management

  • Conduct detailed research on individual and institutional donors, proactively identifying new sources of support to meet department goals.
  • Maintain tracking documents, including records of grant submissions and the grant calendar, to ensure timely submission of proposals and reports.
  • Update donor data in the CRM, ensuring all documents, notes, and files are accurate and accessible.

Grant and Proposal Development

  • Assist the Director in managing all aspects of grant-related activities, including reporting requirements, correspondence, and progress reports for secured grants.
  • Oversee and manage grant portals for foundations, corporations, and government grants as needed.
  • Coordinate the proposal development process with the Assistant Vice President and Director, ensuring all components meet funder requirements.
  • External Communications

  • Prepare program summaries and key messages for donors and external stakeholders.
  • Draft donor acknowledgement letters, ensuring alignment with donor expectations.
  • Provide writing support for promotional materials as needed by funders.
  • Communicate professionally with donors, partner agencies, and staff about funding opportunities, coordinating internal and external meetings.
  • Team Support and Collaboration

  • Organize site visits with funders for system leadership and Philanthropy team members, strategizing impactful formats to enhance engagement.
  • Assist the Philanthropy team with various projects as needed.
  • Contribute to writing and research projects for the External Affairs team, as directed by the Director, sharing 15% of time between the two teams.
  • Minimum Qualifications

  • Qualification for Central Office
  • 1. Baccalaureate degree from an accredited college or university in Public or Business Administration or a related discipline and 3 (three) years of progressively responsible experience in areas relating to public administration and / or health care planning and administration, grant writing and work related to grants management and development within these fields.

    2. Master’s degree from an accredited college or university in disciplines, as listed in #”1” above, can be substituted for one (1) year of experience, as described in “1” above.

    Department Preferences

  • Minimum : bachelor’s degree from 4-year college with preference for comparable writing experience in a nonprofit setting, plus 2 years of relevant professional experience; or
  • Master’s degree with preference for focus on public health or non-profit management, plus 1 year of relevant professional experience
  • CFRE Certification
  • Public health, policy, non-profit management and program development
  • Social issues relevant to public health care delivery
  • Operation of various Grantors Systems and government grant portals
  • Development / philanthropic best practices
  • Must be detail oriented and highly organized
  • Ability to produce concise and clearly-worded documents covering a wide range of subject areas.
  • Ability to process and draft politically-sensitive information in a responsible manner.
  • Demonstrated commitment to the values of the public hospital system
  • Experience working both independently and collaboratively to support multiple programs.
  • Advanced knowledge of Microsoft Office suite required
  • Fundraising database / CRM and data processing programs, preferred
