Job Description

Position Summary

The Billing Analyst will perform all tasks in support of creating and updating billing information for our client's customers. incoming email inquiries at production and service levels consistent with the business objectives of the company. Additionally, will make phone calls to confirm any needed information and properly direct incoming phone calls with the utmost courtesy and in a professional manner.

Essential Duties & Responsibilities

Email Management

Manage a high volume of emails by assigning and prioritizing incoming emails into the Billing queue to ensure completion of the queue at the end of each business day.

Receive and classify all emails to properly choose the correct action for resolution.

Coordinate with clients, debtors, vendors, and operations teams to resolve all issues and provide appropriate responses to all email inquiries.

Conduct independent research in order to assist the operations teams to resolve all issues efficiently.

Escalate all unresolved issues to management promptly when necessary.

Invoice Presentment / Billing

Monitor billing failures and track patterns and trends. If billing failures continue, investigate the issue and fix the problem. If it's a system failure, report the Business Information Specialists.

Ensure all billing documentation is successfully delivered.

As needed, communicate with debtors about billing preferences.

Proactively collect and report all billing preference information and discrepancies.

Communicate equipment failures or errors with the support team.

Internal Customer Service

Assist operations, treasury, and collections with any debtor request, missing remittance information research, and resolution of disputes.

Assist internal teams with questions about invoice delivery process and procedures.

Be the main point of contact for incoming Debtor phone calls.

Consult with our credit department for questions and discrepancies found.

Perform other duties as assigned.

Assist the business support team with other additional tasks assigned.

Experience & Education

High School diploma or equivalent; college degree preferred, but not required.

1 to 3 years' experience in Transportation Invoice Factoring and / or a related industry (Shipping & Receiving, Logistics, etc.)

Skills & Abilities Required

Proficient in Microsoft Office suite.

Intermediate Excel skills (filters, pivot tables, etc.).

Strong research and root cause analysis skills.

Ability to multi-task and stay focused at high levels of productivity.

Ability to type quickly and accurately using various data processing tools.

Ability to read quickly and accurately.

Ability to provide excellent customer service, while meeting strict deadlines.

Outstanding communication skills, both written and verbal.

Excellent time management and organization skills.

Strong sense of urgency and attention to detail.

Ability to adapt to changing work situations and procedures.

Ability to understand and follow written and verbal instructions.
