The Senior Academic Program Services Specialist plays a pivotal role in ensuring the efficient management and administration of academic programs within the College of Dentistry. This position requires a seasoned professional with a strong background in academic program coordination, student services, and project management. The Senior Academic Program Services Specialist oversees a range of tasks related to program logistics, student support, and compliance with institutional policies.
Coordinates day to day operations of the Office of Graduate Studies in the College of Dentistry; develops, maintains, and continually improves office processes including, but not limited to, admissions for dental residents and graduate students, resident licensing, and a nine month onboarding process involving a variety of offices across the campus and the Medical Center; works in cooperation with the Associate Dean and Program Directors to maintain and process graduate course registrations; provides academic support to graduate faculty; oversees and monitors grades and maintains quarterly progress reports to ensure satisfactory academic progress / requirement of accreditation standards; organizes and facilitates new graduate student orientation; performs office duties such as taking minutes, maintaining files and writing correspondence; oversees fee authorizations for graduate students, GTAs and monitors fee statements; provides administrative and scheduling support with college accreditation process; facilitates graduate student support as a central point of contact for 100+ student / residents; serves as a collaborator in solving difficult, sensitive, and complex student issues often partnering with other campus offices; attends and completes regular on-campus trainings, annual meetings, and events to improve professional skills and stay abreast of higher education trends / policy changes / recommendations; serves as a “manager liaison” for the college and executes triannual GTA WorkDay pay entry; represents the office and college on a variety of committees and provides campus-wise feedback related to office practices / constituents. Other duties as assigned.
Serves as the primary contact for the Graduate School regarding CoD graduate programs, tracks completion of degree requirements via Gradforms and intervenes to avoid missed deadlines; Solicits nominations for the Pauline Wittwer Graduate Fellowship and oversees the review of nominees and selection of awardees; Oversees graduate curriculum management (course creation, modification, or withdrawal); Provides CoD business and finance office with fiscal guidance relative to graduate programs; Provides logistical support for graduate courses that enroll students from multiple residency programs (e.g., Research Design, Advanced Radiology, Orofacial Pain / TMD, Oral Pathology, Head & Neck Anatomy); Collects, analyzes, and submits assessment data for CoD MS and PhD programs (through faculty surveys to assess student performance on their thesis defense and exit surveys of graduating students); Collects and analyzes data requested by CoD Institutional Effectiveness Committee / Outcomes Committee relative to graduate program effectiveness; Executes other duties related to college committees (IEC / Outcomes, Ethics and Professionalism, etc.) and other strategic initiatives in the CoD (CARE program, faculty development, etc.) to continue professional development and versatility / cross-training within the college. Potentially supervises professional staff and Biostatistics GRA.
