Job description

About the Role

We are seeking an organized, detail-oriented Design Coordinator to support the planning, coordination, development, and delivery of design projects across our organization.

The Design Coordinator will serve as a key connection point between designers, project managers, internal stakeholders, consultants, vendors, and other project partners. This role is responsible for keeping design information organized, coordinating deliverables, tracking revisions, and helping ensure that projects move efficiently from concept through execution.

The ideal candidate combines strong organizational skills, design awareness, attention to detail, and effective communication.

What You'll Do

Design Coordination

  • Coordinate design activities across multiple projects and stakeholders.
  • Organize design files, drawings, specifications, presentations, and project documentation.
  • Track design deliverables, deadlines, revisions, and approvals.
  • Coordinate the distribution and review of design materials.
  • Maintain accurate records of current and superseded design documents.
  • Help ensure that design information is complete, accurate, and available to the appropriate teams.

Project Support

  • Work closely with project managers and design leads to support project schedules and deliverables.
  • Track project milestones and identify potential delays or outstanding items.
  • Coordinate meetings, design reviews, presentations, and follow-up actions.
  • Prepare agendas, meeting notes, action-item lists, and project updates.
  • Follow up with stakeholders to ensure assigned design-related tasks are completed on schedule.

Design Review & Documentation

  • Review design documentation for completeness, consistency, and coordination.
  • Identify discrepancies, missing information, or conflicting requirements and escalate them appropriately.
  • Coordinate comments and revisions between internal teams and external consultants.
  • Maintain revision histories and approval records.
  • Assist with preparing design packages and presentation materials.

Stakeholder & Vendor Coordination

  • Serve as a central point of communication for design-related information.
  • Coordinate with architects, engineers, designers, consultants, contractors, suppliers, and other external partners as required.
  • Communicate project requirements, deadlines, and outstanding items clearly.
  • Help resolve coordination issues and ensure decisions are properly documented.
  • Support the procurement and delivery of design-related materials when required.

What We're Looking For

We're looking for someone who can keep complex design information organized while helping multiple people stay aligned and on schedule.

You don't need to be the person creating every design. You need to be the person who makes sure the right people have the right information at the right time.

Required Qualifications

  • 2–5 years of experience in design coordination, architecture, engineering, construction, interior design, project coordination, or a related field.
  • Strong organizational and document-management skills.
  • Excellent attention to detail.
  • Ability to coordinate multiple projects, priorities, and deadlines.
  • Strong written and verbal communication skills.
  • Ability to work effectively with designers, project managers, vendors, and other stakeholders.
  • Comfortable reviewing drawings, plans, specifications, or other technical/design documentation.
  • Proficiency with Microsoft Office or comparable productivity tools.

Preferred Qualifications

  • Bachelor's degree in Architecture, Interior Design, Engineering, Construction Management, Design, or a related field.
  • Experience with AutoCAD, Revit, Adobe Creative Cloud, Bluebeam, or comparable design/documentation software.
  • Experience working with architects, engineers, contractors, consultants, or design vendors.
  • Familiarity with project-management and document-control systems.
  • Experience coordinating design revisions, approvals, or submittals.
  • Experience in commercial, residential, healthcare, technology, facilities, or construction environments.

What Success Looks Like

During the initial 12-month engagement, success will be demonstrated by your ability to:

  • Keep design documentation organized and current.
  • Improve coordination between design and project teams.
  • Keep design deliverables and approvals moving according to schedule.
  • Reduce avoidable communication and documentation errors.
  • Identify coordination issues early and ensure they are addressed.
  • Maintain accurate project records and revision histories.
  • Provide reliable support to project and design leadership.
  • Build strong working relationships with internal and external project partners.

Compensation & Contract

  • $80,000–$100,000 annualized salary
  • $3,000 sign-on bonus, subject to applicable eligibility and payment terms
  • $150/month phone and internet stipend
  • Hybrid work arrangement
  • Paid time off and company holidays, subject to applicable employment classification and company policy
  • Professional development opportunities
  • 12-month initial contract
  • Opportunity for contract renewal based on performance, business needs, and continued scope of the position

Why Join Us?

This role provides an opportunity to become an important part of the design and project-delivery process while working with professionals across multiple disciplines.

You will have meaningful responsibility for keeping design information, people, deadlines, and deliverables coordinated—giving you the opportunity to develop valuable experience across design and project management.

The initial 12-month engagement provides a clear opportunity to demonstrate your capabilities, contribute to important projects, and earn continued employment through contract renewal.

If you're organized, detail-oriented, design-minded, and enjoy bringing people and information together to get projects across the finish line, we'd like to hear from you.
