Job description

Head Start Health Services Coordinator

Under the supervision of the Health Coordinator, performs specialized paraprofessional and administrative duties supporting the implementation, monitoring, and compliance of Head Start Health Services. Responsible for maintaining child health records, monitoring health requirements, tracking compliance data, coordinating screenings and referrals, supporting family engagement activities, and assisting with federal, state, and local health reporting requirements to ensure comprehensive health services are provided to enrolled children and families.

Examples of Essential Duties:

Child Health Compliance Monitoring

  • Collaborate with Family Service Workers, Site Supervisors, and Health Services staff to ensure timely completion of required health screenings and documentation.
  • Assist in monitoring health status data and ensuring compliance with Head Start Program Performance Standards and Community Care Licensing requirements.

Health Data Management

  • Maintain and monitor accurate health records within GoEngage and other approved data systems.
  • Support preparation of monthly, quarterly, and annual health compliance reports.
  • Assist with data analysis to identify health trends, service gaps, and compliance risks.

Family Engagement and Follow-Up

  • Contact families regarding missing health documentation and assist in obtaining required records.
  • Provide families with information regarding community medical, dental, vision, nutrition, and mental health resources.
  • Support health outreach activities that promote preventive health care and health education.

Health Screening Coordination

  • Support the coordination, scheduling and tracking of vision, hearing, developmental, dental, and other required screenings.
  • Assist with planning and implementation of health screening events and community health initiatives.

Health Coordinator Support

  • Assist the Health Coordinator with federal reviews, self-assessment activities, audits, and monitoring visits.
  • Support policy and procedure implementation related to health and safety practices.

Subrecipient and Delegate Support

  • Monitor and provide technical assistance regarding health data quality and compliance for partner agencies and subrecipients.
  • Generate compliance reports and communicate corrective action needs regarding health requirements.

Knowledge of:

  • Head Start Program Performance Standards related to Health Services (45 CFR Part 1302).
  • Child health, preventive health care practices, and early childhood health requirements.
  • Immunization requirements and California child health regulations.
  • Health screenings, referral processes, and follow-up procedures.
  • Confidentiality standards including HIPAA and FERPA as applicable.
  • Community health resources serving children and families.
  • Principles of health record management and documentation standards.

Ability to:

  • Analyze health compliance data and identify areas requiring follow-up.
  • Maintain confidential health information with a high degree of accuracy and professionalism.
  • Communicate effectively with families, health care providers, and community partners.
  • Coordinate multiple health-related deadlines and compliance requirements.
  • Interpret and apply Head Start health regulations, policies, and procedures.
  • Support a multidisciplinary approach to child and family wellness.

Language Skills:

Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals; ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Ability to speak a second language is desirable.

Mathematical Skills:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals, ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Experience and Training:

A typical way of obtaining the knowledge, skills and abilities outlined above is an Associate's Degree from an accredited college/university; or two (2) years of experience in the field of data entry/computer records management or in a related data input work environment; must demonstrate accuracy, thoroughness and neatness; or an equivalent combination of education, training and experience.

Special Requirements, Licenses & Certificates:

A valid California Driver's License is required. Certification in Pediatric First Aid and CPR must be met within 90 days of employment. Must meet and maintain state law and county licensing requirements regarding employment in a child care center (fingerprints, immunizations, TB, and physical).
