Position Summary
Reporting the Department Administrator / CFO, the Graduate Medical Education Program Directors (Directors of residency programs and fellowships), and the Clerkship Director., the Manager, Education Administration will be responsible for overall planning, organizing and administrative oversight of all medical student clinical programs and graduate medical education programs within the Department of Neurology. The Manager will supervise a team responsible for supporting the coordination of medical student and graduate education programs in the Department.
The medical student program includes the medical student clerkship, the fourth-year medical student electives and visiting students.
The graduate medical education programs include the adult and child neurology residencies, visiting residents, the ACGME fellowships and the non-ACGME accredited fellowships
Responsibilities
Responsibilities (either directly executed or via the management of another team member) will include but are not limited to the following :
- Manage day-to-day operations for the medical student clinical program and the graduate medical education programs.
- Provide management support for clerkship directors, the residency and fellowship program directors and chief resident(s)
- Hire, train and supervise education administration staff
- Resident / Fellow recruitment Manage applications and interview offers through the Electronic Residency Application Service (ERAS) and ThalamusAdministration and coordination of all house staff interviews; communication with applicants as necessary and appropriateAssist with the ranking of the residents and the submission of the rank list to the National Resident Matching Program (NRMP)
- Accreditation and Credentialing : Maintain appointments, reappointment and licensure of residents and fellows ■Oversee the accreditation process with governing bodies (i.e. ACGME, UCNS) for applicable programsWork directly with the NYP Graduate Medical Education (GME) Office, the Office of Faculty Affairs, the American Board of Psychiatry and Neurology and other related offices, internal and external, to implement policies, procedures and compliance requirements as required by accrediting bodies and federal and state regulatory guidelinesCompile and submit reports to ACGME, NYP GME, FREIDA, ABPN and other relevant bodiesSchedule and prepare materials for review at Clinical Competency Committee meeting(s), Program Evaluation Committee meeting(s) and semi-annual meetings with the Program Directors. Participate as part of the Clinical Competence Committee and Program Evaluation Committee and prepare dossiers and reports to submit to ACGMECoordination and administration of in-service examinationsResponsible for management of Medhub system, the evaluations management tool, including implementation of evaluation process, duty hours, conference attendance and procedure trackingDraft and process verification of former house officersPrepare summative evaluation forms Curriculum support Prepare and help execute external rotations for the trainees - within the institution, at other US institutions, and international siteIn conjunction with the Program Directors and Chief Residents Prepare and distribute rotation (block), clinic and on call schedules.Prepare and distribute conference schedule
- Events Plan, organize and schedule new house staff departmental orientationPlan and execute residency graduation event
- Finance Assist with management of education budgetAssist with reimbursement of resident / fellow spending from their education funds
- Liaison with residents and maintain a collegial environment
- Other duties as assigned
