Job Goal
To maintain and manage the efficient processing, entry, and distribution of official student records within the registration management system and to ensure the availability of accurate, up-to-date, and secure student data and information for the school district.

Essential Duties and Responsibilities
- Serves as the custodian of all current and former student records for assigned HCS school for the purpose of ensuring accuracy and confidentiality and complying with the Family Educational Rights and Privacy Act (FERPA) and other applicable guidelines, rules, and regulations.
- Acts as the school's enrollment clerk and operates the registration management system to process and confirm the registration and enrollment of both new and returning students.
- Gathers and updates all necessary student records and documentation, such as report cards / term grades, test scores, identification documents, proof of residency / guardianship, immunization records, disciplinary history, ESL records, etc.
- Reviews a variety of records and documentation for the purpose of ensuring data integrity, accuracy, confidentiality, and compliance with applicable policies and standards and generates reports on a scheduled or as-needed basis.
- Prepares and distributes transcripts, records, and other documents for graduating, transferring, or withdrawing students to schools, colleges, universities, employers, and other appropriate recipients as requested.
- Processes computer labels to affix to individual cumulative cards and updates information with labels or manually as necessary to ensure up-to-date and complete student records.
- Verifies and updates grade point averages and assists with confirming class ranking information for all students.
- Assists Counselors in evaluating transcripts and monitoring student credit requirements and relays information to appropriate parties.
- Organizes and prepares cumulative records, grade books, and other documents for archival and storage as appropriate.
- Identifies possible discrepancies / issues based on enrollment records and notifies Social Workers or other HCS personnel as appropriate regarding students in need of various services, including homeless, foster care, or state / federal assistance.
- Completes various government and other forms as requested and notifies appropriate agencies and organizations to ensure necessary information is reported.
- Collects school property from withdrawing students and notifies students, parents / guardians, and / or proper authorities regarding unreturned items.
- Communicates effectively and serves as a liaison to students, students' parents / guardians, district administrators, HCS staff, educational institutions, and various outside agencies and organizations for the purpose of responding to inquiries and ensuring records, transcripts, and other documents are requested, received, and processed in an accurate and timely manner.
- Performs a various clerical duties as assigned, including preparing and filing documents, answering phone calls, greeting visitors, and other tasks as necessary.
- Performs other job-related duties as assigned.
Qualifications
A high school diploma or equivalent and three (3) years of office support experience. Experience with student information system data entry and experience working with students preferred. Knowledge of district and school policies and procedures preferred.
Physical Requirements
Requires light work exerting up to ten (10) pounds of force occasionally and / or a negligible amount of force frequently. Job involves sitting most of the time.
Terms of Employment
Eleven month year. Salary as recommended by the Superintendent and approved by the Board.
