Job description

Estimating Coordinator

The Estimating Coordinator supports the estimating team by managing documentation, coordinating bid submissions, and ensuring accurate and timely preparation of project estimates. This role is critical in organizing project information, maintaining communication between departments, and helping ensure competitive and compliant bids.

Key Responsibilities:

  • Assist estimators in preparing cost estimates, proposals, and bid packages.
  • Coordinate and track bid submissions, deadlines, and required documentation.
  • Maintain and organize project files, drawings, and specifications.
  • Communicate with subcontractors, suppliers, and internal teams to gather pricing and information.
  • Issue requests for quotes (RFQs) and follow up to ensure timely responses.
  • Review incoming bids for completeness and compliance.
  • Enter and manage data in estimating software and spreadsheets.
  • Prepare reports, summaries, and bid comparisons.
  • Support post-bid activities, including contract documentation and project handoff.
  • Ensure all documentation meets company standards and client requirements.

Qualifications:

  • 13 years of experience in construction, estimating, or administrative coordination.
  • Strong organizational and multitasking skills.
  • High attention to detail and accuracy.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Experience with estimating software (e.g., Procore, PlanSwift, Bluebeam) is a plus.
  • Excellent communication and interpersonal skills.
