Position Summary
This position exists to manage the transcript intake process to support the transfer evaluation duties of the Registrar's Office. This position examines and pairs college transcripts to student admissions applications and, working closely with the Office of Admissions, maintains the electronic files of each applying transfer student. The Transfer Intake and Communication Specialist is the main point of contact for the transfer team's email account and conducts the primary triage and distribution of incoming inquires. In addition, this position is the main individual responsible for document retention.

Responsibilities and Duties
40% - Transcript Intake - Updates student records by recording receipt of official documentation and ensures eligible transcripts enter the transfer credit evaluation workflow for transcripts received either digitally or as hard copies. Verifies transcripts authenticity, and if they are received with an official status, matches each transcript with student records within the Student Information System and Customer Relationship Management System, accurately records statistics from those transcripts, and maintains the database of received transcripts. Acts as the custodian of unpaired records, researching student information and searching various databases to ensure the records are properly paired. When necessary, builds new college institutions, international or otherwise, within both the SIS and CRM.
40% - Customer Service - This position maintains the transfer team's email box and enrollment call centers, acting as students' first point of contact for questions relating to transferring credits, sending transcript, and transfer credit appeals. Coordinates with all of enrollment management and relevant call centers to ensure students are directed to proper resources to address their transfer needs. Working with the rest of the transfer team, ensures that students' needs are addressed promptly and accurately.
10% - Document Retention - This position acts as the primary custodian of incoming student records, maintaining their files and ensuring FERPA compliance for all incoming records and transcripts. This position is the frontline to determine document authenticity and official status as it relates to the evaluation of transfer credit. This position acts in accordance with Registrar policy regarding the timeline of retention or destruction of incoming records, maintaining student privacy throughout the entire life cycle of the record's retention.
5% - Trains, guides, and explains work processes and procedures to co-workers and student employees by educating them about unfamiliar concepts : the purpose and use of various forms and processes used by faculty, students and staff for implementing changes to student records; requirements for accepting documents as complete and official; efficiently using various required software programs; navigating and manipulating student systems; and operating peripheral hardware equipment. Varying specialties within the work unit often require a synergy of the positions to obtain the best outcome for the student. Such collaboration facilitates cross-training of specific duties to better serve students and the department.
5% - Other duties as assigned.
Required Qualifications
- Bachelor's degree or the equivalent combination of education and experience (Please note the equivalency standard is two (2) years of experience equals one (1) year of education).
- Strong oral, written, and interpersonal communication skills
- Ability to work independently and to handle multiple tasks simultaneously
- Experience with the Microsoft Office suite and general computer literacy

Salary for Announcement
We anticipate the qualified candidate to be placed between $47,300 - $48,100. The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. Additionally, Student Affairs has committed to tying our salaries to an understanding of a living wage. To that end, we will not pay less than $47,300.
The above salary range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
