Job Description:
Semper Valens Solutions is seeking an Experienced Operations Analyst to serve as a key advisor to the Product Director (PD) at Selfridge Air National Guard Base, Harrison Township, Michigan (outside Warren, MI). In his role, the candidate will provide comprehensive guidance and support for all operational activities. This role is responsible for the complete management of administrative duties and organizational taskings. The Operations Manager will apply a disciplined approach to problem-solving, project planning, and quality control to ensure the Product Director's objectives are met efficiently and effectively. Candidates must demonstrate excellent customer service skills and possess strong computer proficiency.
Job Duties
Operations & Tasking Management
- Proactively identify opportunities for process improvement and assist in developing operational strategies.
- Manage and track all Taskers from various DoD agencies within the LCMP portal.
- Analyze guidance, coordinate with Subject Matter Experts, and consolidate the PD's final position
- Clarify vague taskings and assign resources based on defined responsibilities.
- Communicate and coordinate with Product Managers, government agencies, users, and contractors across multiple locations.
- Escalate late or insufficient responses to ensure deadlines are met.
- Manage the Product Director's weekly staff meeting.
Personnel Management Support
- Coordinate new employee onboarding.
- Manage essential personnel records and documentation.
- Track and report mandatory training compliance for all staff.
Administrative and Office Management Support
- Perform general administrative duties, including correspondence, reports, and inquiries.
- Maintain records for time and attendance (ATAAPS), Out of Office (OOO), payroll, and inventory.
- Schedule meetings, manage calendars, and process visitor requests.
- Arrange travel and process orders/vouchers in the Defense Travel System (DTS).
- Perform building security checks and promote OPSEC awareness
Reporting & Document Management
- Provide verbal weekly status reports on organizational operational matters.
- Consolidate status reporting from all staff functional areas.
- Attend meetings to record official minutes and document action items.
- Develop decision papers, briefings, and reports on the PD's operations, goals, and accomplishments
- Track and report the status of routine artifacts like SITREPS and briefing slides.
Document & Systems Management Support
- Review all organizational documents for grammar, clarity, and format per Army Regulations.
- Establish, update, and manage data files.
- Develop and staff Commander's Critical Information Requirements (CCIR).
- Ensure all documents are staffed according to the defined organizational process.
- Utilize Microsoft Office and SharePoint for correspondence, data tracking, and reporting.
Requirements Qualifications
- Active Secret security clearance is required.
- U.S. Citizenship is required.
- Knowledgeable of the Army's missions, functions, and structure.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and SharePoint
- Ability to operate modern Information Communication Technology (ICT) equipment.
Preferred Qualifications
- Proficiency in government-specific systems is desired, with training provided for:
- ATAAPS (Automated Time Attendance and Production System)
- DTS (Defense Travel System)
- OOO(Out-Of-Office) portal
- LCMP portal
- Ability to be flexible and support evolving tasks
