Job description

Assistant Director, Career and Personal Development

This position is part of the Office of Career and Personal Development team. The department supports all campus locations but is located at the Grand Rapids Lettinga Campus. The Events Coordinator role is responsible for the scheduling, coordination, promotion, and execution of events that include career fairs, networking mixers, and professional development workshops held across campus spaces. This role works closely with other internal and external partners such as Career Coaches, Student Affairs Staff, facilities, IT, dining/catering, faculty, and corporate partners. Events are coordinated with an eye toward cultivating long-term recruiting pipelines and exceptional employer relationships. These responsibilities are performed in an ethical manner consistent with the University's mission, vision, and values, which include diversity, equity, and inclusion.

Responsibilities

  • Event Execution & Operations: Manage event budgets, strict timelines, and complex logistics (such as room layouts, tech setups, and catering) to ensure the high-quality execution of large-scale career fairs, networking events, and workshops.
  • Calendar Management & Communication: Create, maintain, and effectively communicate the comprehensive career events calendar to all stakeholders, including students, faculty, employers, and university leadership, ensuring campus-wide alignment.
  • Stakeholder Liaison & Collaboration: Act as the primary point of contact between external hiring partners and internal university departments (Facilities, IT, and Catering) to seamlessly coordinate all event needs.
  • Relationship Management: Cultivate and sustain positive professional relationships with students, DU staff/faculty, corporate partners, alumni, and employers.
  • Core Competencies: Utilize strong communication skills, proactive problem-solving, and a sharp eye for detail to anticipate logistical challenges and deliver exceptional customer service.
  • Mission & Inclusion Alignment: Execute all responsibilities and campus programming in an ethical manner that actively promotes and aligns with the University's commitment to diversity, equity, and inclusion.
  • Understand and abide by all external and internal regulations and policies. This includes NCAA, GLIAC, and national affiliations associated within athletics or other role-specific regulations.
  • Provide GREAT customer service, anticipating and exceeding the needs of our customers.

  • Perform other duties as assigned.

Qualifications

  • High School Diploma required, relevant college coursework or bachelor's degree preferred.
  • Previous administrative, business office, event planning or event sales experience preferred.
  • Demonstrated organizational and technical skills.
  • Demonstrated ability to effectively plan, meet deadlines, and accomplish goals while prioritizing workloads.
  • Demonstrated ability to communicate effectively and relate well to donors, alumni, students, parents, faculty, staff, and others while maintaining appropriate confidentiality.
  • Ability to maintain a professional appearance and manner.
  • Demonstrated ability to work accurately and effectively with established budgets and computerized systems.
  • Ability to work effectively with people of diverse backgrounds and promote a positive working environment, spirit of cooperation, and positive reactions to change and conflict resolution.
  • Demonstrated ability to communicate effectively and relate well to students, parents, faculty, staff, and others while maintaining appropriate confidentiality.
  • Must be highly motivated and solution-oriented with a high degree of integrity, ethics, and dedication to the mission of the university.
  • Ability to pass a pre-employment background investigation including but not limited to: standard criminal background check and employment reference checks. Select positions may be subject to drug/alcohol screening.
  • Business office environment. Prolonged sitting and standing. Use of personal computer and telephone (eye and hand strain).
  • No regular lifting requirements, occasional lifting up to 25 pounds.
  • May be requested to work a flexible schedule to accommodate event requirements.
