Job description

Wealth Management – Client Service & Operations Associate

Nashville, TN | Primarily In-Office
Onsite during training; Monday–Thursday in office during the first year

We are seeking a highly organized and detail-oriented professional to support a team of financial advisors at a growing wealth management firm. This is a heavily administrative and operational role for someone who enjoys keeping things organized, following through on details, and making sure nothing falls through the cracks.

The ideal candidate has experience within wealth management, an RIA, financial planning firm, or similar environment and understands the day-to-day demands of supporting advisors and their clients. An Executive Assistant or administrative professional with experience in wealth management who is interested in building a career in the industry and obtaining their licenses would also be a strong fit.

This is an opportunity to become an integral part of the advisor team, develop a deeper understanding of wealth management, and grow your responsibilities over time. Licensing will be required within the first 6–12 months, making this a strong opportunity for someone who is interested in building a long-term career in wealth management.

What You’ll Do

Provide Administrative & Operational Support

  • Provide day-to-day administrative support to one or more financial advisors

  • Manage calendars, inboxes, client communications, and follow-up

  • Prepare for client meetings and assist with meeting logistics

  • Maintain CRM records, files, tasks, and client information

  • Coordinate scheduling and day-to-day logistics

  • Track open items and ensure follow-through

Support Client Service & Account Administration

  • Assist with routine client requests and ongoing account servicing

  • Support the opening and maintenance of client accounts

  • Prepare and coordinate paperwork, transfers, account changes, beneficiary updates, and money movement

  • Work closely with custodians, internal operations teams, and advisors to keep requests moving

  • Troubleshoot issues and provide timely status updates

Support the Advisors

  • Help keep advisors organized and prepared

  • Manage administrative details and follow-up

  • Anticipate needs and stay ahead of outstanding items

  • Help improve processes and create greater efficiency across the team

Who We’re Looking For

  • Experience in wealth management, an RIA, financial planning, or a similar financial services environment

  • Executive Assistant or administrative experience supporting advisors, portfolio managers, or other financial professionals is also welcome

  • Highly organized and comfortable managing a high volume of administrative details

  • Proactive, dependable, and strong at follow-through

  • Strong written and verbal communication skills

  • Detail-oriented with good judgment and the ability to handle confidential information

  • Comfortable working independently while collaborating closely with a team

  • Curious and interested in developing a deeper understanding of wealth management

  • Willing and able to obtain required industry licenses within the first 6–12 months

Experience & Qualifications

  • 3+ years of relevant experience preferred

  • Experience with administrative support, CRM systems, account administration, or investment operations

  • Experience supporting financial advisors or investment professionals is a plus

  • Series 7 and Series 63 are preferred, but not required at the time of hire

  • Candidates who are not currently licensed must be willing to obtain the required licenses within their first 6–12 months

  • Strong communication, organization, and follow-through skills

  • Ability to work primarily in-office in Nashville

Why This Role

This is a great opportunity for someone who enjoys the administrative and operational side of wealth management and wants to build a long-term career in the industry. You’ll work closely with experienced advisors, gain a deeper understanding of the business, and have the opportunity to take on increasing responsibility as your knowledge and licensing develop.
