Job description

Job Title : Medical Records Assistant Job Description

As a Medical Records Assistant, you will play a critical role in managing patient records, ensuring compliance with HIPAA protocols, and supporting medical practices with records requests. You will be responsible for scanning, filing, and importing medical records into the company's EMR system, as well as converting records into PDF formats as needed.

Responsibilities

  • Assist patients and medical practices with records requests, following HIPAA protocols.
  • Scan, file, and import medical records into the company EMR system.
  • Read and process medical record copying requests, ensuring accuracy and completeness.
  • Convert requested medical records into PDF format from EMR systems, paper charts, or external storage.
  • Process copying requests received via interoffice mail, fax, US Mail, and personal serve.
  • Date stamp all incoming medical records requests and ensure compliance with confidentiality issues.
  • Log all medical records into the department tracking system, ensuring accuracy of patient information.
  • Verify patient signatures and legal documentation for records requests.
  • Notify patients of copying procedures and associated charges, leaving messages as needed.
  • Identify and implement improvement opportunities, escalating issues to management as necessary.
  • Check work logs for missing operative reports and obtain them from correct platforms.
  • Match documents to patient charts for provider review and scan and file various reports and notes.
  • Fulfill all mailed-in and faxed requests for records from insurance companies, hospitals, attorneys, and others.
  • Verify authenticity of subpoenas and release forms, processing requests per state guidelines.
  • Work with the EMR system E Clinical Works.

Essential Skills

  • Medical assisting
  • Medical records management
  • HIPAA compliance
  • 1+ years of recent medical office experience
  • 1+ years of medical records experience
  • BLS and / or CPR certification
  • Medical terminology knowledge
  • Medication or pharmacy knowledge
  • EMR experience
  • Strong computer skills
  • Strong phone etiquette
  • Strong communication skills with patients, providers, and others
  • Detail-oriented
  • Ability to fill prescription requests
  • Additional Skills & Qualifications

  • Experience in internal medicine, urgent care, and EKG is beneficial.
  • Work Environment

    This position is based in a high-volume medical clinic setting, supporting 17 doctors and serving over 250 patients daily. The clinic offers a family-oriented culture with a tight-knit and welcoming team. Located within proximity to several great restaurants, the work environment is dynamic and provides exposure to a diverse community of patients including Pediatrics, Urgent Care, Adult Care, and Radiology. Dress code is professional, and the team values a collaborative and supportive atmosphere.

    Job Type & Location

    This is a Contract to Hire position based out of Fountain Valley, CA.

    Pay and Benefits

    The pay range for this position is $20.00 - $22.00 / hr.
