Academic Records Coordinator
The Academic Records Coordinator is responsible for providing high quality customer service to students, faculty, and staff. This individual greets walk-in customers, answers phones, and responds to email or other inquiries. The Records Coordinator is responsible for processing incoming and outgoing transcripts, along with maintaining academic records. Work must be conducted in accordance with University policy and procedures and other regulatory bodies such as Federal Educational Rights and Privacy Act 1974 (FERPA), Higher Learning Commission (HLC), and other regulatory bodies.
Position Accountabilities
1) Generate official and unofficial transcripts for students, athletes, federal investigators, and university officials as requested. Process incoming transcripts, including electronic and physical transcripts. Conduct research related to release of transcripts that are on hold due to financial or other obligations. Resolve other issues related to electronic transcript delivery. Process payments and make deposits. (20%)
2) Update and maintain academic and demographic records with a high degree of accuracy and in a manner consistent with University policy and regulatory requirements. Research and resolve discrepancies. Ensure that relevant records and correspondence are uploaded to students' electronic files, in compliance with document retention policy. (25%)
3) Answer inquiries via email, phone and in-person from students, staff, and other constituents in a timely, accurate, courteous manner. Research and troubleshoot inquiries, and provide thorough and accurate responses. Generate enrollment reports for military recruitment, as set forth in Solomon Amendment. (25%)
4) Review irregular data reports and correct records as needed. (5%)
5) Serve as liaison for university mailroom, processing mail or distributing incoming mail to appropriate persons / areas. (5%)
6) Research and resolve issues related to document imaging, electronic and paper transcript receipt / delivery, and related systems. (5%)
7) Provide training and support for student employees. Delegate various responsibilities to student employees, providing training and quality assurance. Crosstrain with staff. Serve as backup for various positions including enrollment / degree verifications, class scheduling, supply inventory and orders, military record updates (as required by military branches and / or VA). (10%)
8) Special Projects. (5%)
Position Requirements
High school diploma or GED required. Associate's degree preferred. Demonstrated skills with Microsoft Office and technology. Adhere to FERPA and other institutional and regulatory policies. Strong written and oral communication skills. Ability to solve practical problems. This is an in office position, 8 : 00 a.m. 4 : 30 p.m., Monday-Friday. May be eligible for hybrid schedule of up to 2 remote days / week. May require occasional overtime during peak cycles. Integrity, detail-orientation, and accuracy. Adaptable to change, including processes, procedures, and technology.
Starting range -$15.50 - $17.44 per hour
