POSITION DESCRIPTION
JOB TITLE : Office Assistant
SALARY : DOE
REPORTS TO : Program Coordinator / Program Manager _______________________________________________________________________
BASIC FUNCTION : Performs a variety of administrative functions. Running errands, maintains compliance documentation, filing and assisting in various departments. Keeping the office and snack shop stocked with supplies, receiving phone calls, and incoming documentation that is pertinent to agency operation, and all other duties as assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Running errands
- Assist with filing for various departments
- Inventory stock for office and snack shop
- Running snack shop
- Inventory purchases
- Assist in various departments as back up
- Assist in agency compliance
- Ability to cross train within the departments
- Support Program Manager and Program Coordinator as needed.
- KNOWLEDGE, SKILLS AND ABILITIES ;
- Strong interpersonal skills and customer service
- Must have knowledge of the HIPAA laws of 1996 to maintain and safeguard confidential medical and personal records
- Knowledge of various Microsoft software applications, such as MS Word, Ms Excel. Must type 65 wpm
- Maintain supplies, assist in other departments as needed
- Multi-line phone, copiers and fax machines
- Data entry, sorting, filing.
- Effective written and oral communication skills
- Ability to consistently be at work and on time
- Ability to maintain a confidential working relationship
- Excellent personal organizational skills
- Ability to follow oral and written instructions
- Ability to communicate effectively and maintain a positive attitude
- Communicate respectfully with others
- Time Management Skills to meet deadline and assigned projects.
