The Planning Coordinator (PC) provides direct support to the Planning department staff. Planning staff work with communities to develop planning projects funded locally or by the Community Development Block Grant Program with funds distributed via the Texas Department of Agriculture and the Texas General Land Office. These projects are typically for the creation and adoption of comprehensive plans and supporting development regulations. This position requires a punctual, reliable candidate who can balance competing priorities while attending to detail and is willing to learn.

Primary Responsibilities :
- Help generate and track project-related documents and follow up with staff and clients regarding document status.
- Review outgoing and incoming material for completeness, attachments, dates, and signatures.
- Create and maintain project files, including archiving of closed-out project documentation.
- Order and maintain inventory of supplies.
- Process and track financial draw requests and verify when payment has been made from the State to Client.
- Assist in the preparation of reports and data entry.
- Provide administrative support to department staff (including mailing, copying, filing, scanning, etc.), possibly including high volume generation and mailing of public notices on behalf of clients.
- Schedule and organize meetings, including note taking.
- Other project related tasks as assigned.
Required Skills / Experience :
Minimum Qualifications :
This position is full-time employment during regular working hours (8am-5pm Monday – Friday).
This position is based in Austin, Texas- those residing outside of the Austin Metropolitan area will not be considered . Candidates must be able to work in the office location 1-3 days per week for mail and printing responsibilities. Remote work will be available and supported 2-4 days per week. Schedules may vary but will typically be arranged several weeks in advance.
