Description : POSITION SUMMARY

The Office Manager is a highly organized and detail-oriented role with a friendly and helpful demeanor, willing to be the face of the Lighthouse (Corporate office) for all internal and external visitors. The Office Manager will play a crucial role in maintaining a smooth and efficient office environment, providing essential administrative support across various functions.

ESSENTIAL FUNCTIONS

  • Greet and assist visitors at the front door professionally and kindly.
  • Manage incoming calls and direct them to the appropriate personnel.
  • Coordinate with vendors, place orders, and ensure timely delivery of goods and services.
  • Maintain positive vendor relationships and address any issues promptly.
  • Order, organize, and track office supplies to ensure adequate stock levels.
  • Keep the office environment tidy and well-maintained, particularly the front office space, to ensure it’s always ready for vendors.
  • File and organize paperwork and documents.
  • Scan, copy, and distribute documents as needed.
  • Schedule and coordinate travel arrangements, meetings, and hotel accommodations.
  • Manage calendars and assist in planning events for the company and office.
  • Plan and organize office events, including meetings, holidays, and visits from customers, franchisees, and vendors.
  • Coordinate catering and ordering meals as necessary.
  • Scribe and take notes or type up notes and meeting minutes from important company meetings.
  • Assist with tracking and maintaining spreadsheets for projects as needed.
  • Assist with office safety procedures.
  • Support internal and external operations teams for local meetings and events.
  • Provide administrative support to departments within the office.

  • Highly professional in appearance and disposition, the role is the face of the brand when guests arrive.

  • PHYSICAL DEMANDS

  • Work is performed in an office environment and requires operating standard office equipment and keyboards. Must have the ability to lift and carry small parcels, packages, supplies, or vending items, walk short distances, and drive a vehicle to deliver and pick up materials on occasion.
  • TRAVEL REQUIRED

  • Up to 5% for trips to procure supplies, catering, offsite meetings, travel to the post office etc. All travel would be local to the Louisville area.
  • EDUCATION AND EXPERIENCE

  • High school diploma required; currently enrolled college students are welcome.
  • Previous experience in an office with administrative responsibilities is required.
  • Proficient in using computers and office software (Microsoft Office suite).
  • Excellent organizational and multitasking skills.
  • Strong communication and interpersonal abilities.
  • Ability to handle sensitive information with confidentiality.

  • Base Salary : $19 - $20 per hour, full time
  • Typical Hours : In office Monday - Thursday 8 : 30am – 4 : 30 pm and Friday 8 : 30am – 1 : 30pm
