Job Purpose : The Office Manager at Behavioral Health Services Inc will be responsible for overseeing and coordinating the day-to-day administrative operations of the office. The role is essential in ensuring the smooth functioning of the office environment, supporting staff, and enhancing the efficiency of organizational processes.
Key Responsibilities : Manage and supervise office staff, providing guidance and support to ensure high performance and productivity. Oversee office operations and procedures, ensuring organizational effectiveness and compliance with company policies. Coordinate and manage schedules, meetings, and appointments for staff and leadership, ensuring efficient time management. Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing orders. Serve as the point of contact for office-related inquiries, providing support and resolving issues promptly. Develop and implement office policies and procedures to improve workflow and operational efficiency. Assist in the preparation of reports, presentations, and correspondence as required by management. Ensure the office environment is safe, secure, and conducive to productivity, addressing maintenance and facility issues as needed. Support the onboarding process for new employees, ensuring a smooth transition and integration into the company. Collaborate with other departments to facilitate communication and cooperation across the organization.
Required Education : High School Diploma or GED. Required Experience : At least 1-3 years of experience in an office management role or similar administrative position. Proven experience in managing office operations and coordinating administrative procedures. Experience in the healthcare or behavioral health sector is advantageous. Demonstrated experience in managing budgets and financial reporting. Required Skills and Abilities : Strong organizational and time-management skills with the ability to multitask effectively. Excellent communication skills, both written and verbal, with the ability to interact professionally with diverse groups of people. Proficiency in office software, including MS Office Suite (Word, Excel, PowerPoint) and familiarity with office management systems and procedures. Ability to manage and lead a team, fostering a collaborative and productive work environment. Strong problem-solving skills and the ability to make decisions quickly and effectively. High level of integrity and discretion in handling confidential information. Ability to adapt to changing environments and handle multiple priorities under pressure.
