As the Executive Personal Assistant, you will be responsible for assisting Mr. Jay Skylus in his business ventures and personal life. This is a full-time on-site opportunity in Long Beach, California . The assistant is a generalist who performs day-to-day administrative and operations responsibilities as well as project management duties on behalf of their principal and serves as the primary point of contact for the principal. The Skylus Organization oversees multiple, high growth early stage ventures. Therefore, the most successful candidates will have prior experience in startups - particularly in highly technical industries such as technology, aerospace, defense, or AI.
The principal works extremely hard and is constantly under high pressure. Strong professional verbal and written communication skills, conduct, and significant real-world experience supporting high performance founders or c-level executives is a must. You will use your expertise, diligence, "can do" attitude, and organizational skills to leverage your principal's time to enable him to do more work than he could if he didn't have you as an assistant. As the Executive Personal Assistant to Mr. Skylus, you understand the high stakes nature of early stage startups. You have a high degree of emotional intelligence and excellent interpersonal skills to navigate dynamic environments in real-time with utmost professionalism.
The Skylus Organization is developing cutting edge technologies and US export controlled technologies. The work involves exposure to highly sensitive, confidential, and / or classified information requiring confidentiality, tact, and discretion. Trustworthiness is a firm requirement.The organization's operations require domestic (frequently during crunch periods to meet customer deadlines) and occasional international travel. The Executive Personal Assistant must be willing to travel as requested by the principal, often on short notice.
The company will provide all equipment, including an iPhone and laptop. The use of person devices in the performance of work / duties will be strictly prohibited.
Level 1 : $80,000 to $90,000 / per year
Level 2 : $95,000 to $110,000 / per year
Level 3 : $115,000 to $130,000 / per year
Level 4 : $130,000+ / per year
Qualifications
- Perform administrative, operations, and office management responsibilities, as assigned.
- Perform general accounting, finance, and HR duties. Training will be provided by the company, as necessary.
- Serve as the primary point of contact for all matters pertaining to the principal, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect principal's preferences.
- Relentlessly manage the principal's time. Organize and maintain the calendar, appointments, action items and support the principal by informing him of all commitments and responsibilities. Follow up on behalf of the principal, when appropriate.
- Work closely with the principal to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the principal updated.
- Anticipate principal's needs in advance of meetings, conferences, etc.
- Arrange travel, travel plans, itineraries, agendas, visas and accommodation and ensure that all relevant documents are available for travel related activities. Travel with the principal, as requested.
- Research, compile, organize, graph, and accurately portray information.
- Plan and coordinate Executive Team meetings, retreats, staff meetings, and company events, as assigned.
- Support HR initiatives and recruiting events, as requested.
- Create presentations as assigned.
- Perform special projects as directed.
- Perform other tasks for the principal, as requested.

This position is an outstanding opportunity for a highly-motivated assistant to assume a pivotal role for a fast-growing, highly-respected principal. Performance-based promotions and / or bonuses, no minimum time requirement for promotions.
Travel
Up to 25% travel required
