Description

The Philanthropy Manager is a pivotal member of Free Arts' expanding Fundraising Team, tasked with supporting the execution of engagement and fundraising strategies aimed at boosting donor revenue. This role primarily focuses on the acknowledgment, stewardship, recognition, and engagement of Free Arts' donors. Additionally, overseeing the organization's donor database and ensuring that it is optimized to provide actionable insights that drive fundraising and donor engagement strategies. The Philanthropy Manager reports to the Director of Philanthropy and collaborates closely with the VP of Philanthropy and the CEO. Although subject to change, the expected breakdown of duties are as follows : Data Administration 50%, Donor Care Services 35%, Quality and Compliance 10%, and other duties as assigned 5%.

Position Competencies and Responsibilities

Data Collection, Synthesis, and Reporting- Expert

Oversees donor management database quality, structure, integrity, and accuracy of all donor information and gifts entered as it relates to fundraising strategies and tactics by carrying out the following duties :

  • Maintains accurate and up-to-date data for all constituent records to ensure that all processing, tracking, reporting, acknowledgment of gifts, and engagement activities are executed in an accurate and timely manner.
  • Maintains data entry standards and data procedures.
  • Maintains import and export data, gift and constituent coding, and duplicate management.
  • Generates customized queries, reports, and mailing lists to support development activities, board fundraising, mailing lists, new donors, donor retention rates, the success of various appeals, etc.; and ensures the data derived from these activities are maintained in accurate and up-to-date status, and can easily be accessed.
  • Analyzes gifts to determine correct coding based on campaigns, funds, appeals, and approaches for each gift processed.
  • Reviews current systems and works Director of Philanthropy to improve overall workflow and support pertaining to fundraising efforts.
  • Creates and maintains a structure within the database to effectively identify specific data segments for analysis as it pertains to various targeted fundraising and marketing efforts.
  • Responds to Development staff and constituent questions regarding the donor database, assesses requests, effectively communicates database opportunities and limitations.
  • Performs monthly gift reconciliation in conjunction with the Finance team

  • Maintains and improves donor relations by collaborating with Organizational Assistant to ensure accurate and timely handling, recording, receipting, and acknowledgment of gifts and related data.

  • Responds to constituent questions regarding data issues with donor databases or associated programs; assesses requests, effectively communicates database opportunities and limitations.
  • Discovers donor companies' corporate social responsibility and / or workplace giving objectives and identify opportunities that align with Free Arts; and collaborates with fundraising staff to create engagement initiatives and opportunities.
  • Uses appropriate data and techniques to move others into action - including grant proposals, donor-centric communications and in conversation.
  • Works with Programs staff to compose accurate, compelling stories about our programming to inspire the public via donor-centric communications (Ex. Quarterly Newsletter).

  • Prepares and provides quality assurance for mailing and donor lists for appeals, reports, and events.

  • Requirements

  • Ideal candidate will have 3 years or more of practical work experience in a business setting or commensurate experience.
  • Minimum of three years of progressive work experience in database management
  • Previous experience with Salesforce or similar donor management software
  • Knowledge of applicable tax laws, the fundraising process, and concept of donor relations
  • Highly proficient in the use of Microsoft Word and Excel, including the use of document merges and file exports.
  • Must be able to have access to and provide reliable transportation for self. An AZ driver's license and proof of insurance is required for qualifying mileage reimbursements.
  • Must be able to obtain and hold an Arizona Department of Safety Fingerprint Clearance Card.
  • Ability to clear fingerprint background screening through the Department of Public Safety and comprehensive background clearance
  • This person frequently interacts with staff, board members, funders, and constituents about the programs and services of Free Arts at an executive level. Must be able to exchange accurate information in these situations.
  • Preferred Qualifications

  • Physical Requirements

  • Must be able to remain in a stationary position 90% of the time using a computer.
  • Must be able to identify and assess written materials including fine print.
  • Must be able to position self to maintain files, supplies, document boxes, and other materials up to 50 pounds as needed.
  • Environmental Requirements

  • Must be able to regularly work in a well-lit, temperature-controlled work area.
  • Must be able to work a mix of weekdays, evenings, and weekends.
  • Must be able to work in an open area with other employees and volunteers 80% of the time.
