Office Coordinator

PART TIME - On Site Tuesday - Thursday 7 : 30 AM - 4 : 30 PM

General Summary :

We are seeking a professional, service-oriented Office Coordinator to join our team. This individual will play a key role in supporting the day-to-day operations of the office, ensuring a safe, clean, and productive environment for all staff. The ideal candidate will have strong communication skills, a customer-first mindset, and the ability to manage multiple responsibilities efficiently.

This is a part-time, onsite position working Tuesday through Thursday from 7 : 30 AM to 4 : 30 PM .

Key Responsibilities :

Facilities Operations & Support :

  • Serve as the primary point of contact for facilities-related inquiries and service requests
  • Manage tickets in the ServiceNow portal, ensuring timely resolution or escalation
  • Coordinate repairs and maintenance of office equipment, furniture, and space
  • Oversee seating arrangements, employee moves, and space planning
  • Partner with vendors, contractors, and building management for service coordination
  • Prepare and maintain weekly reports on project status, service issues, and resolutions
  • Ensure meeting rooms are configured daily and stocked with necessary supplies
  • Perform light custodial duties in common areas as needed

Reception & Office Support :

  • Greet and assist visitors, answer incoming calls, and manage messages
  • Sort, scan, and distribute incoming mail; coordinate outgoing mail
  • Assist with office reconfigurations and refresh projects
  • Monitor and support general office supply needs and usage
  • Provide day-to-day support to staff and collaborate across departments as needed
  • Safety & Emergency Preparedness :

  • Participate in organizing office safety drills and emergency procedures
  • Act as a liaison for emergency response coordination
  • Purchasing & Budget Tracking :

  • Manage department invoices, ensuring accuracy and timely processing
  • Order, receive, and track supplies and inventory
  • Maintain records of monthly purchases to ensure adherence to budget
  • Coordinate local vendor pickups as needed
  • Required Skills and Qualifications :

  • High school diploma or equivalent required; some college preferred
  • Minimum 2 years of experience in a visible administrative or facilities-related role
  • Excellent verbal and written communication skills
  • Strong organizational, problem-solving, and time management abilities
  • Ability to work independently with minimal supervision
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook); MS Teams experience a plus
  • Comfortable handling confidential information and interacting with all levels of staff
  • Detail-oriented and committed to delivering outstanding internal customer service
  • Ability to handle multiple tasks and deadlines in a fast-paced environment
