Position Summary
Defense Holdings, Inc. (DHi) is seeking a detail-oriented, analytical, and highly organized Payroll Administrator to support payroll operations and ensure the accurate and timely processing of employee compensation. The ideal candidate will play a key role in maintaining payroll records, ensuring compliance with federal and state payroll regulations, and supporting benefits and HR coordination related to payroll processes.
This role requires a high level of confidentiality, attention to detail, and the ability to manage payroll operations in a fast-paced, government contracting environment.
Key Responsibilities
Payroll Processing & Administration
Process biweekly and semi-monthly payroll for employees across multiple states.
Ensure payroll accuracy including wages, overtime, bonuses, and deductions.
Verify timekeeping records and ensure compliance with company policies.
Maintain payroll records and documentation in accordance with company and regulatory requirements.
Compliance & Regulatory Requirements
Ensure payroll practices comply with federal, state, and local wage and tax regulations.
Maintain compliance with government contractor payroll standards and reporting requirements.
Assist with payroll-related audits and provide documentation when requested.
Monitor updates to payroll regulations and implement process adjustments as needed.
Employee Payroll Support
Serve as a point of contact for employee payroll inquiries including deductions, tax forms, and payment issues.
Assist employees with payroll documentation including W-2s, direct deposit changes, and tax forms.
Provide support and guidance on payroll-related questions with professionalism and confidentiality.
Benefits & Compensation Coordination
Collaborate with HR to administer benefits deductions including medical, dental, retirement, and voluntary benefits.
Assist with compensation adjustments and payroll updates related to promotions or salary changes.
Support benefits enrollment periods by ensuring accurate payroll deductions.
Payroll Systems & Reporting
Maintain payroll data within payroll systems and HRIS platforms.
Generate payroll reports for leadership, finance, and compliance purposes.
Analyze payroll data to identify discrepancies or potential process improvements.
Assist in maintaining payroll procedures and documentation.
Required Qualifications
Bachelor’s degree in Accounting, Finance, Human Resources, Business Administration, or related field.
3–5 years of progressive payroll administration experience.
Experience processing payroll in a multi-state environment.
Strong understanding of payroll regulations and tax requirements.
Proficiency in payroll systems and Microsoft Office Suite, particularly Excel.
Excellent organizational, analytical, and problem-solving skills.
Ability to handle sensitive information with discretion and professionalism.
Preferred Qualifications
Certified Payroll Professional (CPP) or similar certification.
Experience working within government contracting environments.
Familiarity with payroll systems such as ADP, Paychex, or similar platforms.
Experience coordinating payroll with HRIS systems.
Knowledge of benefits administration and compensation practices.
