Position Summary

The Grants Manager, an integral member of the Development Department, will be responsible for research and grant request writing to private foundations, corporate foundations, and government funding sources and to prepare progress reports to funding entities. Additionally, the Grants Manager will manage overall grant efforts, facilitate budget preparation, submit progress reports, ensure grant requirements are being met, manage grant databases, and build positive partnerships with key grant partners. The person in this role will work in tandem with key personnel who implement grant-funded programs. Because the position includes, both, grant coordination and certain front-line fundraising responsibilities, the Grants Manager must possess excellent writing and interpersonal communications skills, as well as a strong analytical and problem-solving approach. Detailed record keeping to keep program reporting on track is vital. Experience with annual reports, high level letters of gratitude, and excellent retention of records. A central resource for all grant funded paperwork is needed, whether completed by Development Division or another division. This position operates as the overall repository for grant-related documentation resource for El Pasoans Fighting Hunger.

Position Requirements

Essential Job Functions

• Under the supervision of the Chief Development Officer, draft concise, compelling, accurate, and targeted grant proposals and progress reports, implement stewardship and follow-up activities, and take initiative at all stages of the identification, cultivation, and solicitation of prospects. Proofread and edit outgoing proposals, reports, letters, and other development related documents as needed.
• Contribute to El Pasoans Fighting Hunger's annual revenue goal of $14+ million.
• Manage multiple grant requests within all aspects of preparation at various stages of completion simultaneously to meet grant deadlines accordingly.
• Conduct prospect research aimed to build new and strengthen existing relationships with corporate and foundation funders while updating research to identify opportunities for increased support from existing funders and donors. Revise and implement acknowledgement process for grantors.
• Prepare profiles and support for meetings with foundation and corporate prospects.
• Maintain the grant proposal and reporting calendar, and ensure that all deadlines are met. Manage the internal grants filing and tracking system, including maintaining essential documentation, following through on next steps, and providing support for others involved in grants.
• Collaborate with colleagues across the organization, including finance, operations, program, and marketing / communications, to gather information necessary and fully capture scope of services for grant proposals, reports and other communication.
• Represent EPFH at external functions and take a proactive approach to participating in cultivation activities including presentations, external and internal events, warehouse tours, prospect meetings, follow-up phone calls, letters and emails. Provide timely responses to donor inquiries and acknowledgement of gifts while executing a highly effective donor engagement strategy.
• Coordinate with appropriate staff to review donor acknowledgement letters for grant funders. Ensure that gifts are recorded correctly. Accurately maintain actions including donor and proposal information.
• Support, as needed, other fundraising and public relations efforts including, but not limited to, fundraising events, public speaking requests, gift processing and marketing services. Plan and execute donor site visits as needed.

Working Conditions & Physical Demands

This position operates in a typical office environment, and requires constant use of a computer and other office equipment, such as phones, calculators, computer printers and copy machines. The person in this position frequently communicates with donors and other stakeholders in person and over the phone, and must be able to exchange accurate information in these situations. This position requires frequent local travel for donor and vendor meetings. Infrequent national and / or overnight travel may be required for donor meetings or for optional professional development opportunities. Occasional night, weekend or on-call work may be required.
