Job description

Associate Director, Project Management

The Associate Director of Project Management will spearhead the launch of a new Project Management Office (PMO) within ASUEP and will take charge of managing a portfolio of high-priority projects. This is an exciting new role designed for a strategic thinker and a skilled, experienced project manager who can lead cross-functional initiatives while establishing and standardizing project management practices within the organization. The role will provide primary support to the Data, Technology, and Operations portfolio within ASUEP, and will provide supplemental support to other units within the ASUEP collaborative.

What you'll do

  • Lead and manage a diverse portfolio of concurrent projects, prioritizing those with high strategic importance that span multiple business units
  • Ensure the successful execution of high-profile, mission critical projects by applying project management best practices and methodologies
  • Implement and lead a standardized project management process for the Data, Technology, and Operations portfolio using Agile methodology; lead project meetings such as planning sessions, demos, and retros
  • Design and implement standardized project management processes, tools, and templates (e.g. PM toolkit) that can be adopted by other units within the organization to streamline project execution and ensure consistency across business units
  • Provide training and ongoing support to teams, ensuring they understand and adhere to the common PM standards and have access to the necessary tools
  • Evaluate, select, implement, and administrate project management and knowledge management tools, such as Wrike, Jira, Confluence, and SharePoint, to enhance collaboration and project tracking
  • Develop and implement strategies to increase awareness of ongoing projects and initiatives across different teams, contribute to a robust knowledge management strategy (e.g., newsletters, wiki buildouts), and drive a culture of project management across the organization and its affiliates
  • Produce, maintain, and manage a repository of project management documentation, templates, and tools to support consistent and efficient project execution across the organization
  • Hires, motivates, develops, and retains a high-performance team
  • Supervise and mentor project management staff, ensuring they are effectively supporting project management activities and developing their skills
  • Collaborate closely with other departments and stakeholders to drive projects forward, ensuring alignment with organizational goals and objectives.
  • Other duties as assigned

What you'll need

  • Extensive experience in managing complex projects, with a proven ability to lead projects from inception through completion, particularly those with high strategic importance and cross-functional impact
  • Expert-level proficiency in administrating project management and knowledge management tools such as Wrike, Jira, Confluence, and SharePoint; ability to evaluate, select, and implement these tools based on different teams' needs
  • Strong understanding of project management methodologies (e.g., Waterfall, Agile) and the ability to adapt and apply them based on project requirements
  • Ability to develop and implement strategic project management plans that align with organizational goals.
  • Expertise in identifying project risks, developing mitigation strategies, and ensuring projects are delivered on time and within scope and budget
  • Experience in establishing and standardizing project management processes, tools, and templates across an organization
  • Ability to create and implement a PM toolkit that can be easily adopted and consistently used across various departments
  • Strong leadership skills with experience in supervising, mentoring, and developing junior team members; ability to make smart decisions and act independently
  • Ability to inspire and lead teams to achieve project goals, fostering a positive, collaborative and high-performance work environment; proven ability to build coalitions across different teams to achieve outcomes
  • Excellent communication skills, with the ability to clearly articulate project objectives, status, and risks to stakeholders at all levels, including executives
  • Proven ability to work collaboratively with cross-functional teams and stakeholders to achieve project success
  • Ability to train and support teams in using technology tools effectively
  • Strong ability to produce, manage, and maintain project documentation, templates, and repositories
  • Experience in developing and managing knowledge management strategies, such as creating newsletters, building wikis, and improving inter-team communication
  • Strong analytical and problem-solving skills, with the ability to anticipate issues and develop effective solutions
  • Ability to think critically and holistically about project needs and organizational goals
  • Ability to adapt to changing project requirements and organizational priorities, seeking and achieving "wins" in a fast-paced environment
  • Commitment to continuous improvement, including acquiring new skills and certifications such as Agile methodology
  • Exceptional time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
  • Strong organizational skills, with a focus on delivering high-quality work under tight deadlines
  • Relevant qualifications

  • Bachelor's degree
  • 7-9 years of project management experience, including at least 3 years of supervisory experience
  • Preferred education and experience

  • Master's Degree
  • Project Management Certification (PMP) or equivalent strongly preferred
  • Experience and knowledge working with Agile, waterfall, scrum, and other project management processes
  • Travel

  • Ability to travel up to 25% of the time
