The Proposal Coordinator will help to develop compliant, compelling proposals and interview presentations. They will collaborate with technical team members and operating group leads to compile proposal information while meeting the requirements laid out in the RFP. They will also assist with reviewing proposals for correct grammar, printing and shipping hard copies, and tracking proposals. Work for this position is fast-paced and deadline-driven, requiring skilled task and time management.
Essential Duties and Responsibilities
- Coordinate with internal technical teams, operating group leads, and external partners to develop compliant, compelling proposals.
- Act as the central point of contact on assigned proposals, lead and guide the work of the proposal team.
- Analyze RFP requirements, create compliance checklists, and ensure that proposals meet requirements.
- Arrange and direct proposal kickoff and check-in meetings and calls, as well as prepare detailed proposal plans, schedules, outlines, and compliance matrices for all phases of proposal development.
- Assist in planning winning themes, value propositions, strengths, risk reducers, and discriminators to initial proposal outline.
- Facilitate multi-disciplined groups in brainstorming and developing solutions to key aspects of the proposal providing tactical advice and guidance with the ability to drive strategy and solutions that result in winning submissions.
- Develop proposals using Word templates; prepare all necessary documents and forms.
- Solicit management reviews and approvals during proposal development.
- Monitor proposal content to ensure compliance to RFP requirements, evaluation criteria, and technical requirements.
- Monitor for relevant competitive procurement opportunities, managing the bid opportunities pipeline and circulating opportunities to the appropriate stakeholders.
- Review and proofread and format proposals; coordinate graphic design and editing support.
- Produce and ship hard copy proposal documents, and/or submit electronically.
- Coordinate interview presentations using PowerPoint templates.
- Customize staff resumes, project experience descriptions, firm capability, and boilerplate summaries.
- Organize and maintain proposal materials, including keeping proposal files, project summaries, and resumes up to date.
- Establishes control procedures to ensure timely completion and delivery of proposals; ability to create and manage production schedules.
- Assist with other proposal and marketing tasks as required.
Job Requirements / Qualifications
- Bachelor’s degree or certificate in Marketing, Business, English, or a related field.
- Minimum of 3 years prior proposal development experience required - well versed in full lifecycle of proposal development
- Excellent oral and written communications skills in English and extreme attention to detail necessary for writing, editing and formatting assignments and technical information.
- Exceptional organizational skills to work effectively in a dynamic, deadline-oriented environment that requires balancing multiple assignments simultaneously.
- Ability to work independently with minimal supervision, but participate in a team and manage deliverables as required.
- Ability to interact effectively with individuals at all levels from diverse cultures and with varying degrees of technical competency.
- Highly skilled in Microsoft Word and PowerPoint.
- Strong proofreading, editing, and reading comprehension skills.
- Ability to work with staff across several time zones.
- Ability to work within tight deadlines.
- Technical writing/editing experience preferred.
- Marketing experience preferred.
