Job description

Talent Relations Approvals Coordinator

The Talent Relations Approvals Coordinator plays a critical role within the Talent Relations department, primarily supporting the internal functions relating to talent likeness approvals, contract redlines, revisions, edits, and the execution of sports and entertainment talent licensing agreements across the Company's trading card and memorabilia products. This position serves as the key liaison between internal teams and external talent representatives to facilitate approvals, ensure contractual requirements are met, and support the successful delivery of content and products in a timely manner featuring athletes, entertainers, and other pop-culture talent.

The ideal candidate has a strong understanding and passion for sports, entertainment, and pop culture, with excellent organizational skills, attention to detail, and the ability to manage multiple projects while working collaboratively across departments including Legal, Content, Brand, Marketing, Project Management, and Finance.

Essential Duties and Responsibilities The following statements are intended to describe the general nature of the level of work being performed by an individual assigned to this job. Other duties may be assigned.

  • Manage the talent approval process from submission through final approval, ensuring timely communication between internal teams and talent representatives.
  • Serve as the primary point of contact for approval requests involving athlete, entertainer, and other talent-related content.
  • Communicate professionally with talent, agents, managers, attorneys, and representatives to obtain approvals and resolve issues.
  • Coordinate with internal departments to collect, organize, and submit materials requiring talent review, including creative assets, product imagery, marketing materials, packaging, social content, and other deliverables.
  • Collaborate with Talent, Content, Legal and Brand teams to secure approval requirements balancing product concept initiatives with contractual usage rights and restrictions.
  • Maintain detailed tracking systems for approval timelines, status updates, feedback, and outstanding action items.
  • Support project management teams by ensuring talent approvals are obtained within required timelines to meet production and release schedules.
  • Collaborate with legal and other internal groups to support the agreement redline process, including coordinating revisions, tracking redline status, and ensuring timely execution.
  • Supports talent-related finance functions to support business and talent client needs.
  • Identify opportunities to improve internal processes, communication, and efficiency within the talent approval pipeline.
  • Must have the ability to travel extensively on behalf of the Company to acquire autographed content for collectibles and memorabilia product lines as requested by management.

Education/Years Experience

  • High School Diploma or equivalent.
  • College Degree preferred but not required.
  • 2+ years of experience in entertainment, talent relations, licensing, collectibles, project coordination, or related field preferred.

Knowledge, Skills, and Abilities

  • Strong knowledge and passion for the sports and entertainment industry, talent landscape, and collectibles hobby.
  • Excellent oral and written communication skills.
  • Knowledge of entertainment, sports, trading card, toy, collectibles, or related industries preferred.
  • Excellent organizational skills with the ability to manage multiple high-priority projects while maintaining attention to detail.
  • Strong interpersonal, problem-solving, troubleshooting, customer service, and relationship-building abilities.
  • Professional demeanor with a strong team-player mentality.
  • Ability to interface effectively with internal departments and external partners at all levels, including talent, agents, managers, and executives.
  • Knowledge of project coordination concepts, practices, and procedures.
  • Ability to work independently with minimal supervision while exercising discretion and independent judgment.
  • High degree of confidentiality required when handling talent relationships, contracts, and business information.
  • Hands-on, energetic, and motivated self-starter with the ability to work additional hours as required.
  • Ability to travel on behalf of the Company with limited advance notice.
  • Ability to lift up to 50 lbs.
  • Proficiency in Microsoft Office and related business systems.
