Job description

The Academic Affairs Division at Whittier College is seeking an Associate Director for Whittier Works.

This position supports the Associate Dean for Engaged Learning and Whittier Works (WW). The associate director supports the day-to-day supervision for the Fellowships Director and oversees daily operations of related projects. Whittier Works is a campus-wide initiative that guides, personalizes and unifies students’ academic, personal and professional development, allowing students to make intentional connections between theory and methodology, applied experiences, essential skills, networking and professional practice in and outside the classroom.

The position requires strong organizational, data and analytical skills to support the Associate Dean of Engaged Learning and Whittier Works in the day-to-day operations, goal tracking, and evaluation and implementation of policies and procedures that are essential to meet the initiative’s long-term goals. Success in this role requires the ability to manage multiple priorities in a collaborative and mission-driven environment.

Salary Range: $85,0000 annual salary; salary will commensurate with experience, skills, and knowledge.

Position Duties and Responsibilities

Essential Functions of the Job

  • Support the Associate Dean through managing the daily operations of the Whittier Works initiative in Academic Affairs. Key responsibilities include:Assist with the development and evaluation of policies, procedures, and support structures that facilitate community-engaged learning experiences.Coordinate the logistical, operational, and risk-management aspects of community engaged course activities, including site placements, student participation requirements, liability waivers, and partner communications.Provide support for faculty involvement in curricular projects that support the initiative, including course-based projects, faculty-student research, community partnerships and student fellowships.Assist the Associate Dean and collaborating with campus partners to provide relevant faculty development opportunities.Responsible for data and goal tracking (weekly KPI reporting) and analyzing trends. Building and maintaining data management systems.Assist with data reporting and the development of presentations for various stakeholders (PowerPoint, data visualization—Canva; Excel).Managing the logistics of office communications. Day-to-day management of the budget.
  • Collaborate and coordinate with the Senior Director and staff of the Center for Career and Professional Development (CCPD) to support and advance the shared goals of the WW initiative. This position will work very closely with the Associate Director of Internships. Key areas of collaboration include:Maintaining appropriate learning agreements, MOU’s, liability waiver and other relevant shared documents. Ensuring efficient processes and excellent coordination between offices. Cultivation and stewardship of community partners as appropriate.Ensuring consistent data collection, tracking and assessments for reporting.
  • Supervise
    Provide oversight for the Fellowship Coordinator and their core responsibilities, including:
  • Recruitment and management of internal and external fellowship opportunities.
  • Direct administrative management of the Mellon Mays Undergraduate Fellowship program.
  • Fulbright U.S. Student Program Advisor
  • Support for the Civic Scholars Program in collaboration with assigned faculty.
  • Organizing student research or engaged learning showcases.
  • Oversee assessment of fellowship initiatives and coordinate reporting as needed.
  • Other duties as assigned.

Position Specifications and Requirements

  • Master’s Degree in higher education administration, student affairs, counseling or similar field.
    Must have above average collaborative and communication skills.
  • Experience developing and evaluating policies, procedures, and support structures that facilitate community-engaged learning experiences (MOUs, Learning agreements, etc.)
  • Experience coordinating the logistical, operational, and risk-management aspects of community engaged course activities, including site placements, student participation requirements, liability waivers, and partner communications.
  • Basic knowledge of assessment tools in an academic setting is required.
  • Demonstrable ability to identify goal tracking through weekly KPI reporting and analyzing and identifying trends.
  • Excellent data management and data organization skills (Excel, Canva)
  • Intermediate experience with aggregating and preparing data for visual presentations.
  • Demonstrable experience supervising and mentoring administrative support personnel and on occasion some student workers/interns
  • Demonstrable experience with day-to-day budget management.
  • Project management skills
  • Experience with strategic communication is desirable
