Job description

Quality Coordinator

The Quality Coordinator supports the Quality Site Manager as the administrative partner for site quality operations. This role keeps quality workflows organized and auditable (e.g., document control, scheduling, records, metrics packaging, and day-to-day coordination) to allow the Quality Site Manager to focus on technical decisions, audits, compliance risk, and team leadership. The Coordinator is the go-to contact for routine quality administrative requests and routes technical or disposition questions to the Site Manager or designated discipline leads.

Responsibilities (What You'll Do):

  • Own day-to-day quality documentation control (e.g., issue, distribute, and archive work instructions, forms, and controlled copies); maintain revision logs and ensure only current versions are in use.
  • Plan and coordinate internal/external audits, inspections, training sessions, and quality meetings (e.g., prepare agendas, attendance records, minutes, and follow-up action lists).
  • Track CAPA, nonconformances, deviations, complaints, and related action items in the site system or tracker; monitor due dates, send reminders, and escalate overdue or high-risk items to the Site Manager.
  • Gather data and assemble quality metrics, KPI summaries, and management review packs (e.g., nonconformance trends, CAPA aging, training compliance) for Site Manager review.
  • Maintain quality records per site retention rulesfiling, indexing, retrieval, and audit-ready organization of hard-copy and electronic files.
  • Support quality onboarding and training logistics: schedule sessions, manage sign-in/sign-off sheets, update the training matrix, and flag gaps to the Site Manager.

Requirements (What You'll Bring):

  • 4+ years of administrative or coordinator experience in manufacturing, industrial, refining, chemical, quality, or another regulated environment.
  • Proven organization and attention to detail with controlled documents, version control, document control practices, and deadline-driven tracking.
  • Working proficiency in Microsoft Office (e.g., Excel, Word, Outlook, PowerPoint); comfortable with shared drives, SharePoint, Bluebeam, or basic databases/trackers; ability to build and manage clean trackers and status reports quickly.
  • Strong written and verbal communication skills; capable of bringing clarity and structure to discussions, leaving with actions clearly assigned; professional, discreet interaction with auditors, operators, engineers, and leadership.
  • Ability to manage confidential quality and personnel-related information and deliver accurate work under time pressure.
  • Familiarity with quality management concepts (e.g., CAPA, nonconformance basics) and strong willingness to learn site-specific QMS tools and procedures.
  • Self-starter who takes initiative without constant direction; prioritizes effectively and manages multiple responsibilities in a fast-paced environment.
