We are looking for a dedicated Receptionist to join our team on a contract-to-permanent basis in Alexandria, Virginia. In this role, you will play a crucial part in ensuring the smooth operation of the office by managing reception duties, handling administrative tasks, and maintaining a welcoming environment. If you are detail-oriented, organized, and enjoy contributing to a collaborative workspace, this position is an excellent opportunity for you.
Responsibilities :
- Maintain an organized and detail-oriented reception area to create a welcoming environment for visitors.
- Receive and log incoming packages, ensuring timely delivery to the appropriate recipients.
- Handle daily mail operations, including delivering mail to tenants and the post office.
- Monitor and manage billing items such as postage, conference room usage, and office supplies.
- Process monthly reconciliations for credit card statements and make regular bank deposits.
- Assist with administrative tasks, including document creation, copying, faxing, and note-taking.
- Manage inventory of office and coffee supplies, ensuring timely restocking as needed.
- Load and unload the office dishwasher, water plants, and ensure newspapers are collected from the building entrance.
- Ensure printers, copiers, and fax machines are stocked with paper and functioning properly.
- Support the Property Manager with assigned duties, contributing to efficient office operations.
- Proven experience as a receptionist or in a similar role handling multi-line phone systems.
- Strong organizational skills with the ability to manage multiple tasks effectively.
- Proficiency in handling administrative tasks such as document preparation and record-keeping.
- Basic knowledge of billing and financial reconciliation processes.
- Capability to maintain confidentiality and protect sensitive information.
- Excellent communication skills for interacting with tenants, visitors, and team members.
- Familiarity with office equipment, including copiers, printers, and fax machines.
- Detail-oriented and proactive in maintaining office cleanliness and supply management.
