JOB SUMMARY :   The Recruiting Assistant will be main point of contact for the candidate during recruitment and the onboarding. The Recruiting Assistant will ensure a seamless and positive experience for candidates and new hires.

JOB ROLES AND RESPONSIBILITIES :

• Coordinate and communicate with candidates throughout the interview and hiring process, ensuring a positive candidate experience.
• Collaborate and provide administrative support to Talent Acquisition Team.
• Review and interpret calendar availability; coordinate interviews based on availability.
• Speak to the candidate to arrange the interview and ensure all materials needed for the interview are sent to the candidate before the interview.
• Coordinating Interviews : Scheduling interviews between candidates and hiring managers, ensuring that all parties are aligned on timing and logistics.
• Managing Candidate Communications : Communicating with candidates about their status, interview details, and next steps.
• Facilitating Feedback and Decision-Making : Assisting in collecting and organizing feedback from hiring managers after interviews, helping to make informed hiring decisions.
• Ensure the applicant tracking system (ATS) is accurate and always contains up-to-date information for each candidate profile.
• Prepare offer letters for review and approval by the Talent Acquisition Team
• Serve as the main point of contact after an offer is made and ensure new hires complete all onboarding activities.
• Order background screens and conduct reference checks for potential hires.
• Ensure all onboarding paperwork is completed by new hire, following up as appropriate.
• Within first three days of employment, conduct I-9 form process.
• Collaborate, coordinate, and communicate across disciplines and departments.
• Ensure compliance with HIPAA regulations and requirements.
