Job description

We are seeking an Academic Advisor who is integral to the academic experience of students in the Doctor of Nursing Practice programs including DNP Advanced Practice; DNP Executive, DNP / PhD; DNP / MPH and DNP / MBA program(s) at the School of Nursing (SON). The Academic Advisor works with students to identify appropriate academic opportunities and strategies throughout the program, helps students adapt to doctoral level learning, ensuring clear understanding of course requirements, policies and procedures for successful completion of the program. The Academic Advisor routinely consults and works with faculty and other administrative offices such as Admissions, Student Affairs, Financial Aid, SEAM and Academic Affairs. Through strategic, individualized academic planning and resource connection, the Academic Advisor works with students and systems to create strategies supportive of student success, retention, and completion. This position reports to the Senior Academic Advisor.

Specific Duties & Responsibilities

  • Activate Plan of Study (POS) contract for each new student.
  • Schedule, coordinate, and facilitate group academic advising sessions.
  • Meet as needed with individual advisees in advance of registration periods to review POS and assist with course selection.
  • Track students’ progression via Advising System.
  • Adjust students’ Plans of Study as needed, e.g. LOA, changing tracks, etc.
  • Audit student enrollments after each registration period to ensure all students are registered correctly.
  • Meet with students as requested to clarify program policies and procedures, to discuss elective options (if any) in their Program track, and for general advising.
  • Coordinate with campus offices (i.e. Records office) to process forms : withdrawals, LOAs, Incomplete forms, Interdivisional registration forms, etc. and tracks student progress.
  • Serve as liaison to University central services offices as well as SON Departments including Records, Admissions, Student Affairs, Financial Aid, Academic Advisors at other schools / divisions within the University, and faculty to facilitate student enrollment, retention, progression and graduation. Also communicate with University central services as needed.
  • Interpret the degree requirements as well as SON policies and procedures to students.
  • Troubleshoot student issues and concerns, referring students to support services needed to facilitate academic success. Initiate appropriate interventions for those in academic jeopardy and, if needed, refer to the Program Director and / or the Associate Dean for Enrollment Management and Student Affairs.
  • Represent students referred to the Progressions Committee and follow up with students afterward.
  • Monitor students who are on Academic Probation in compliance with terms of probation.
  • Conduct degree audit to ensure that each advisee has required number of credits for graduation, met clinical hours, met DNP Project hours, met core requirements, elective requirements, no unresolved “I” or “W,” note scheduled completion of any SON certificates i.e. NECO, etc.

Other / Administrative Duties

  • Maintain student databases and academic files in compliance with regulatory and accreditation standards.
  • Coordinate communications with DNP academic administrators and program leadership.
  • Serve on relevant advising and program committees at the SON and JHU.
  • Participate in the prospective and admitted student events (DNP Immersions, Scholars Day, Open House Events, Accepted Student Day, New Student Orientation, Receptions, Information Sessions, etc.)
  • Participate in Commencement planning and SON Graduation ceremony.
  • Stay current with best practices in academic advising at the graduate level.
  • Compile and analyze academic data as requested.
  • Minimum Qualifications

  • Master's Degree.
  • Three years' experience.
  • Additional experience may substitute for advanced education, to the extent permitted by the JHU equivalency formula.
  • Preferred Qualifications

  • RN license and / or experience advising students in graduate health professional programs.
  • Familiarity with student information systems, degree audit / advising systems, LMS Microsoft Office.

    JHU Equivalency Formula : 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
