This position supports and leads our scheduling team. This position will be responsible for scheduling, documentation, insurance verification, and other administrative tasks as needed.
Essential Job Functions :
Answer incoming calls, which may include screening calls, taking messages, and providing information to patients, physicians, providers, hospitals, and staff.
Document correspondence in the patient's medical record. Update demographic and insurance information in the Athena EHR.
Verify insurance and network status using payer portals and / or calling insurances
Coordinate internal schedules and booking patient appointments.
Ensure all necessary medical documentation is processed according to standard procedures.
Ensure communication with patients, scheduling team members, and internal departments are accounted for and each party has a clear understanding of pertinent information in a timely manner.
Coordinate with clinic staff to follow up on patient requests.
Responsible for administrative duties including scanning paperwork, data entry, and general organization.
Maintain patient confidence and protect business operations by keeping information confidential.
Manage team member schedules.
Manage team member employment relations.
Perform all other duties as assigned.
Qualifications :
High school diploma or equivalent
1 - 3 years scheduling experience
1 - 3 years supervising / lead experience
Possess an understanding Insurance Plans ie Medicare vs Medicare Advantage
Computer skills- EMR and MS Office (Excel, Word, Outlook)
Excellent Interpersonal and problem-solving skills
Strong attention to detail
Preferred Qualifications :
Bilingual (Spanish) preferred
Athena EMR experience preferred
Physical Requirements
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at a time.
Work Environment :
Typical office environment.
This role routinely uses standard office equipment such as computers, phones, and photocopiers.
