Our client is seeking a highly organized and detail-oriented Office Secretary to provide administrative support to our team. The successful candidate will be responsible for managing day-to-day office operations, ensuring efficient communication with customers and vendors, and performing various administrative tasks.
Key Responsibilities :
1. Administrative Support :
Answer and direct phone calls, respond to emails, and greet visitors.
Maintain accurate records, files, and databases.
Order supplies, manage inventory, and coordinate maintenance.
2. Customer Service :
Provide exceptional customer service via phone, email, and in-person.
Address customer inquiries, resolve issues, and escalate concerns.
3. Order Management :
Accurately enter orders into the system.
Verify order details, process payments, and generate invoices.
4. Invoicing and Billing :
Prepare, send, and follow up on invoices.
Manage accounts receivable and track payments.
5. Communication :
Coordinate with internal teams, vendors, and customers.
Send notifications, updates, and confirmations.
6. Data Entry :
Enter data into various software systems.
Maintain data accuracy and integrity.
Requirements :
High school diploma or equivalent required; associate's or bachelor's degree preferred.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and QuickBooks
Excellent communication, organizational, and time management skills.
