The Office Administrator is an on-site role based at McGee’s Corporate Headquarters that is responsible for managing the reception area and delivering best‑in‑class customer service to visitors and internal team members. This position serves as the first point of contact for the organization, greeting and directing guests, managing incoming calls, and supporting daily office operations. In addition, the role provides administrative support to the Human Resources, Safety, Training, IT, and Finance teams. The Front Office Specialist works autonomously and efficiently, ensuring a welcoming experience for all visitors and a smoothly functioning office environment.
Key Responsibilities
- Professionally greets and welcomes all visitors, clients, and team members, ensuring a positive first impression.
- Answers, screens, and directs calls on a multi-line phone system with professionalism and courtesy; accurately takes and delivers messages.
- Maintains an active visitor log, issues visitor badges, and notifies internal staff of guest arrivals.
- Sorts and distributes incoming mail and deliveries and manages outgoing mail.
- Performs clerical and administrative tasks such as filing, data entry, document preparation, and managing office supply inventories.
- Supports facilities management by escalating maintenance issues, reviewing invoices, submitting expense reports, and maintaining files in accordance with retention standards.
- Coordinates travel arrangements and accommodations for training sessions and corporate events.
- Assists with planning and executing office events, celebrations, and internal communications.
- Prepares, maintains, and manages all three corporate conference rooms, including technology setup, materials, and refreshments.
- Ensures the reception and breakroom areas remain clean, organized, and welcoming; performs light cleaning duties as needed.
- Oversee the care of office plants, coordination of cleaning services, and general upkeep of common areas.
- Provides general project support.
- Follows established security and safety procedures.

- Perform other duties as assigned to support McGee’s successful business operation.
Qualifications
Required
- 2 years of experience as a receptionist, office coordinator, administrative assistant, customer service, or a similar role.
- Proficiency with Microsoft Office applications (e.g., Word, Excel, PowerPoint, and Outlook).
- Excellent communication skills (e.g., verbal, written, and listening).
- Commitment to delivering exceptional customer service and constructively resolving problems.
- Ability to build strong working relationships across all levels of the organization.
- Detailed oriented and highly organized, with the ability to multi-task and work independently with limited guidance in a fast-paced environment.
- Excellent problem-solving skills and attention to detail.
- Ability to influence others, work cross-functionally, and contribute positively to a team-oriented, safety-first culture.
- Ability to occasionally lift up to 25 pounds.
- High school diploma or equivalent.
- Must be at least 18 years of age.
- Must be authorized to work in the U.S.
