Basic Qualifications
5+ years of experience in managing grants in an academic or research environment; combination of experience and education will be considered.
Additional Qualifications and Skills
- College degree strongly preferred, or an equivalent of education plus relevant business experience.
- Familiarity with complex grant applications that follow OMB A-21 and NIH Uniform Guidance Regulations.
- Pre-award and post-award experience, with an emphasis on proposal development and submission.
- Previous experience with project management for grant proposals.
- Experience with Harvard financial and grants administration systems and applications preferred.
- Grant management and budgeting, as well as strong financial skills (budgeting, accounting, AP, A / R, reporting).
- Clear and concise communication with everyone involved in the full life cycle of an award.
- Ability to work independently with minimal supervision, and as a member of a team. Willingness to lend a hand when additional assistance is needed.
- High level of organizational skill with strong attention to detail. Able to prioritize duties and meet multiple deadlines.
- Ability to handle highly confidential information with appropriate discretion and sensitivity. Able to exercise a high degree of judgment to make sound independent decisions.

Position Description
Reporting to the GradEd Director of Finance and Grants (DFG) and working within a team of experienced research administration specialists, this position is responsible for the day-to-day management of a portfolio including, but not limited to, NIH Training Grants (T32), Individual Fellowships (F31), and supporting the student funding model. The total sponsored portfolio budget is $5M annually. This position offers an exciting opportunity to collaborate with an experienced team of sponsored administrators and work in collaboration with members of the entire GradEd team as well as colleagues in departments across HMS and FAS, including the HMS Office of Research Administration (ORA), Office of Sponsored Programs (OSP), HMS / FAS departments and programs, and our affiliated hospitals.
This position will work closely with the DFG to continually improve processes, create new workflows, and strengthen project management processes and compliance. Ensures compliance with federal, sponsor and university guidelines.
Pre-award responsibilities include all aspects of proposal development : policy guidance, grant preparation, coordinating the collection and maintenance of required data, budget development, and application submissions. This process requires close coordination with the graduate program leadership and the grant PIs.
Post-award responsibilities include budget reconciliations and adjustments, final financial reporting to OSP and sponsoring agencies, activating awards, managing appointments, facilitating billing agreements and contracts, coordinating effort reporting, preparing and submitting progress reports and reviewing / approving accounts payable to ensure appropriate expense allocation to sponsored awards.
Provide pre and post award back-up on an add need basis for team members. Performs additional duties as assigned.

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only).
