JOB SUMMARY
Reporting to the Manager of Event Sales and Operations, the Event Facilitator will act as a professional contact during rental, group, wedding, and Arboretum sponsored or promoted activities according to Event Manual guidelines and directions of the Sales and Operations Manager / s. Perform as a staff liaison for satisfactory execution of event, including overseeing all aspects related to event and monitoring use and care of DABS’ property. Assure successful guest relations. Contribute to team effort.
DEPARTMENT : Sales and Special Events
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO :
- Assist the Sales and Operations Manager in overseeing and / or directing the Arboretum’s staff for event set-up / tear-down (when requested), assuring that the physical arrangement is according to plan and that Arboretum’s property (tables, chairs, tablecloths, etc.) is in good and clean condition.
- Direct caterers and outside delivery / set-up personnel for appropriate set-up and usage of Arboretum facilities.
- Provide direction for security / parking staff as needed to assure appropriate access to property and safe vehicular access to the gardens.
- Professionally interact with guests and maintain unobtrusive availability to respond to any needs / problems that may occur during an event.
- Enforce Arboretum rules and regulations throughout each event; assure appropriate care of furniture / property by attentive observation during event. Take appropriate action as needed.
- Respond timely and appropriately to any incidents according to Event Manual and maintain appropriate documentation, such as first aid action, property damage, etc.
- Complete appropriate documentation for event, obtaining necessary signatures; document any problems or observations related to the event.
- Perform other duties as assigned
