Summary

Provides student-centered customer service, clerical support to student activities and events, providing information and assistance based on students' needs. Assists students on matters related to college programs, student clubs and organizations, co-curricular activities, and special events. Assists and / or arranges for basic services for students with special access needs or disabilities. Provides administrative support involving secretarial, technical, and logistics services for student-centered services, activities, events and programs.

Distinguishing Career Features

The Student Activities Assistant provides a range of support to student activities ranging from assistance to students with special access needs or disabilities, student government, student leadership development, student clubs and organizations, co-curricular activities, and those contributing to personal growth and development. The Student Activities Assistant requires working knowledge of, and demonstrated ability to function independently in any one of the subjects described above. Advancement potential exists from this position along the counseling and student success career ladders with additional knowledge, education, experience and demonstrated ability to provide substantive support within several student success and retention areas.

Essential Duties and Responsibilities

Specific duties may vary among departments, divisions and jobs. Incumbents typically perform a substantial portion or all of the following types of duties, as assigned :

  • Serves as the initial point of contact for at least one of the following areas : student life, cocurricular activities, student government, student clubs and organizations, limited scope fund raising, and / or intramural contests.
  • Provides logistics and hospitality support to student government, student leadership, student clubs and organizations activities, and events. Provides support to events-in progress. Arranges for multi-media support, provides hospitality, production of materials, certificates, supplies, and refreshments.
  • Assists with internal and external communications. Prepares and sends newsletters, emails, flyers, letters, etc., to enrolled and prospective students, sponsors, agencies, and contacts. Revises handbooks, promotional materials, brochures, and other printed communications materials.
  • Provides information in response to specific requests about opportunities, events and continued participation. Assists students with locating resources and information about District and college processes, forms, and procedures.
  • Advises potential students and interested parties of proper procedures for applying to or seeking program participation. Conveys information about student activities and cocurricular programs and the criteria for acceptance. Applies established formulas and criteria to evaluate student eligibility for participation in programs.
  • Serves as an informational liaison with various campus departments to facilitate student and program operations. Maintains the office calendar, websites, digital marquees and displays, bulletin boards, and informational materials for students. Monitors the supply of and orders appropriate forms and brochures to support the program.
  • Assists the student government and student clubs and organizations with business related matters such as handling of financial transactions, forms, preparing financial statements of income and expenses, governance, and Board meetings.
  • Assists with administrative details and logistics for events and program activities. Arranges for on- and off-campus meetings and events, scheduling facilities, arranging for food, transportation, and accommodations. Prepares student materials, packets, and facilitates student participation in activities.
  • Assists with the preparation and processing of requisitions in response to billings, invoices, reimbursements, and charges.
  • Works with staff, vendors, community partners, students, and other customers to process transactions and in some circumstances, serves as an advocate to troubleshoot non-routine issues.
  • May orient, train, and assign work to student and / or other temporary help. Monitors hours and processes timesheets.
  • Conveys policies and procedures, referring difficult or sensitive matters to an administrator. Responds to inquiries and conveys information about programs and services provided by the organizational unit.
  • Updates and revises content to department's web pages as approved by the supervisor.
  • Assists with the orientation and training of student assistants, student leaders, hourly staff, and full-time employees. May assign work to student assistants.
  • May serve as a chaperone for ASG, ICC, and Student Life & Leadership field trips, conferences, conventions, and all other off-campus student trips. Organizes and manages trip planning and schedules.
  • Collects, updates and maintains data and files, such as those used in student programs, and other processes where there are information privacy considerations. Reviews and enters data using established data entry screens and formats.
  • Receives, greets, and directs phone inquiries and visitors. Determines their needs, provides a variety of routine information that prepares visitors for meetings and official proceedings.
  • Takes notes and prepares meeting recollections. Prepares from rough drafts or instructions a variety of materials such as letters, memoranda, reports and statistical data. Composes original correspondence and forms on routine department matters.
  • May serve on a variety of District and campus-wide committees with supervisory approval.
  • Performs other related duties as assigned that support the objective of the position.
  • Required to abide by all District policies and procedures including Board Policy 3050 - Code of Professional Ethics.
  • Qualifications and Physical Demands

    Knowledge and Skills

  • Requires working knowledge of the role student activities has in overall campus life, special event preparation and assistance, and student-sponsored activities.
  • Requires working knowledge of the functions, policies, and procedures of the division / department, as well as those having implications to other functions.
  • Requires a basic knowledge of student services such as admissions, counseling, assessment, college transfer, and careers.
  • Requires in-depth knowledge of the steps for event planning.
  • Requires working knowledge of the computers, peripherals, and media commonly used in academic settings, including common office productivity applications for word processing, spreadsheets, and data management.
  • Requires in-depth knowledge of financial record keeping and limited scope budgeting processes.
  • Requires knowledge of and skill at proper English language usage, grammar, vocabulary, spelling and punctuation sufficient to prepare reports and correspondence.
  • Requires sufficient math skills to perform basic business mathematics calculations.
  • Requires sufficient human relations skills to work collaboratively and enthusiastically with students, convey policy and procedural information, exercise patience, and conduct one on-one and small group orientations.
  • Abilities

  • Requires the ability to perform the essential responsibilities and functions of the position.
  • Requires the ability use a computer and peripheral equipment, along with common software packages and applications for word processing, spreadsheets, data entry, and data management.
  • Requires the ability to learn and apply knowledge of student life into supporting activities and events support.
  • Requires the ability to learn and apply policies and procedures for the specific area of assignment.
  • Requires the ability to create and accurately file documents and files in alphanumeric order.
  • Requires the ability to maintain accurate financial / numeric records, monitor budget documents including income and expenditures, and purchase orders.
  • Requires the ability to convert an objective for a student activity into a sequenced list of tasks.
  • Requires the ability to work collaboratively with a diverse student population, follow oral and written directions, organize workload, work under pressure and meet deadlines, timetables, etc.
  • Requires the ability to work weekends, early mornings, and evenings to support student activities.
  • Physical Abilities

  • The general physical demands, working conditions, and essential job functions associated with this classification will be kept on file with the Office of Human Resources.

    The position typically requires an Associate's degree. Concurrent experience working in student success, counseling, or special student program. Or, any combination of education and experience which would provide the required equivalent qualifications for the position.

    May require a valid driver license.

    Working Conditions

    Work is performed indoors and occasionally outdoors, where minimal safety considerations exist. May be required to perform duties and responsibilities beyond normal working hours based on the needs of the department.

    Conditions of Employment

    This recruitment is for one permanent , full-time classified, 40 hour per week, 12-month per year position. The normal hours of work are Monday through Friday from 8am to 5pm. The effective date of employment will be arranged with the supervisor.
