Job description

Job Description and Duties

  • Individuals who are eligible for Training and Development assignment may also be considered for this position (s).

Within the context of the Office of Correctional Education (OCE) Academic Program requirements, regulations, and guidelines, and under the supervision of a Supervisor of Academic Instruction, and under the direction of a credentialed academic teacher, the education records teaching assistant shall give support to education staff by obtaining the education records / transcripts of newly committed inmates at the Reception Centers. The teaching assistant’s duties include : provides each inmate a Request to Release Transcripts form at the time they are administered the initial literacy assessment, collects the completed form back from the inmates, mails the request to the appropriate agency to obtain the educational records and enters the information into the Strategic Offenders Management System (SOMS). Once the institution receives the education records, the teaching assistant updates the information in SOMS.

Assists education staff in obtaining the educational records from outside educational agencies for all incoming inmates; provides inmates with a letter asking them to complete a Request to Release Transcripts form; provides Request to Release Transcripts form to all the inmates; completes the Transcript Request Form, mails the completed forms to the appropriate agency, and enters the information into the Strategic Offenders Management System (SOMS).

Under professional guidance, updates the information in SOMS after the records / transcripts are received by the institution. Scans the transcripts / records in ERMS. Keeps track of all the attempts made to obtain inmate education records by recording / entering them in the Inmate Case Notes section in SOMS.

Keeps an accurate record on each individual inmate’s records / transcripts using OCE approved documentation. Confers daily with the supervisor to discuss any issues or concerns regarding obtaining records.

Operates equipment, media and computers used in the program. Maintains control and inventory checklists over equipment, media, supplies, and other materials.

Assists in providing for the security of the institution, the school, the classroom and the welfare of the inmates. Maintains accurate records, adheres to the inmate progressive disciplinary process, and completes disciplinary documentation. Be able to sustain long periods of standing, sitting, bending, reaching, lifting, and walking across institutional facilities. Performs other duties as assigned.

  • Possession of Minimum Qualifications will be verified prior to interview and / or appointment. If you are meeting Minimum Qualifications with education, you must include your unofficial transcripts / diploma for verification. Official transcripts may be required upon appointment. If it is determined an applicant does not meet the Minimum Qualifications, the candidate will be withheld from the eligibility list, rendering them inactive and ineligible to be hired for the position. Candidates who have been withheld may file an appeal with the State Personnel Board.
  • Candidates new to CDCR are required to submit to a background investigation process utilizing Live Scan Fingerprinting, and Tuberculosis testing prior to appointment followed by department annual Tuberculosis testing / evaluation thereafter.
