Department Marketing Statement :

The Carsey-Wolf Center supports research, teaching, and public programming about media. Our goal is to foster informed dialogue, critical skills, historical understanding, and new forms of literacy for a global and interconnected world. Engaging media experts, students, and scholars, our research and programming are committed to broadening the ways in which we understand media. The Center supports research in five six main and overlapping areas that reflect the scope and depth of media studies as a field : Global Media, Media and Democracy, Information Media, Media Industries, Media and the Environment, Storytelling and Narrative. The Pollock Theater offers a destination for innovative programming that includes topical series, events focused on film and television, and visits from contemporary media-makers. The Center provides an intellectual as well as a physical space in which the university and the public can interact through educational activities, research projects, and public programming.

Brief Summary of Job Duties :

Under the direction of the Business Officer, the Theater Manager is responsible for the daily operations of the Pollock Theater as a Film and Media Studies classroom and a venue for the Carsey-Wolf Center's public programming. During the day, the Manager provides classroom support, supervises and trains a team of student employees, and ensures the technical aspects for high-quality instruction; in the evening and occasional weekends, the Manager works with the Carsey-Wolf Center staff to ensure a seamless movie-going experience for guests and patrons. Responsible for coordinating the videotaping of all events, post-production editing, marketing, and posting the final cut to CWC's website and UCTV. The Theater Manager serves as the operational manager, making sure the Pollock Theater is secure and maintained as a first-class classroom and venue. Serves as technical director for all events and classroom teaching requiring multi-media support. Coordinates with outside vendors for the upkeep and maintenance of the acoustic and visual media equipment used in the Theater. Trains and supervises part-time student assistants for the Department of Film and Media Studies and the Carsey-Wolf Center; 10-15 students each quarter learn theater management and production skills to program, market, prepare, and film events with the Carsey-Wolf Center.

Required Qualifications :

  • Bachelor's degree in related area and / or equivalent experience / training.
  • 4-6 years of experience managing a film-screening theater and providing support for public events.
  • 4-6 years of experience with equipment management and technical support for advanced audio-visual technology.
  • Thorough knowledge and understanding of concepts, principles and practices of event planning and public relations, including event design, organization and production.
  • Demonstrated good judgment in making decisions and managing events. Skill in effectively meeting budget and time constraints.
  • Highly developed judgment, decision-making and problem recognition / avoidance / resolution skills.
  • Ability to effectively work with invited guests, donors, government officials and university VIPs.
  • Excellent verbal and written communication skills, including active listening, dynamic flexibility, critical thinking, and ability to multi-task and ensure productive time management.
  • Demonstrated history of strong leadership abilities, excellent interpersonal skills, and collaborative relationship building.

Preferred Qualifications :

  • 1-3 years of experience with employee supervision.
  • 1-3 years of experience working in an academic or public institution setting.
  • Thorough knowledge of the campus, its vision, mission, and infrastructure.
  • Knowledge of University policies and procedures relating to the use of University facilities, event management and presentation.
  • Demonstrated organizational and project management skills to produce high quality events and appropriately represent the campus.
  • Knowledge of principles and practices of recruitment, supervision, motivation and evaluation. Demonstrated ability to supervise a diverse student staff.
  • Ability to complete large volume of diverse tasks efficiently, meeting established deadlines, as well as the ability to maintain a high standard of productivity within a broad scope of responsibility despite frequent interruptions.
  • Knowledge of crowd management, crowd safety protocols, security and emergency procedures related to small, medium and large scale gatherings.
  • Ability to give clear directives and use independent, rational judgment to make optimal decisions.
  • Knowledge and skill to set and monitor work standards and protocols.

    Job Functions and Percentages of Time :

    Events and Programming (40%) :

    Responsible for technical support for Department classes and for student film screening events and large public events at the Carsey-Wolf Center. Coordinates all events at the Pollock Theater and ensures events are sufficiently staffed with appropriately trained student assistants. Responsible for all aspects of ticketing distribution and attendance tracking. Tracks actual attendance using ticket scanning devices at theater doors. Responsible for requesting UCSB Police or Student Safety Partners for security when needed and serves as the point of contact for security during an event. Coordinates with Parking Services to request reserved parking and ensure signage is appropriately placed for guests. Coordinates with and schedules outside vendors as projectionists for special film screenings or sound and lighting technicians as needed. Coordinates a multi-camera shoot with student employees. Oversees soundboard technician, preparations of microphones, lighting, screen masking, live switching, on-line streaming, and post-production coordination with UCTV and other potential distributors of event footage. Ensures Pollock Theater equipment is up to date, functional, and provides clear instructions and information to other staff or vendors. Provides hospitality for invited guest speakers, ensuring the theater and green room are clean, well-stocked, and welcoming. Provides safety, comfort, and welfare of audience, performers, and technicians. Marketing - Helps to develop new audiences through a variety of marketing strategies, including online distribution, such as UCTV, social networks, and student groups. Contributes to CWC website to promote future events and archive past events. Utilizes provided press materials to distribute promotional information for CWC screenings. Ensures all marketing materials are distributed on campus in a timely fashion and accurately posted in online community calendars. Promptly posts physical and digital promotional materials in the theater.

    Technical (20%) :

    Oversees the operation of audio / visual equipment, including 16 / 35mm film, digital video, theater sound reinforcement, house lighting, and event recording. Establishes maintenance and repair schedules. Leads problem-solving efforts when screening materials are not formatted to industry standards. Ensures all films are tested in advance of screening to troubleshoot problems, communicate with distributors or technical support, and find solutions. Communicates with CWC staff about technical preparations to ensure all are well-informed in preparation for events and guests. Supports the screening of 16 and 35mm film projection on the Pollock Theater's Kinoton projectors, trained and supported by the Theater Manager and student staff. Ensures projectors are maintained and in working order, facilitating the order of projection supplies. Schedules appropriate third-party projectionists are scheduled as needed for archival prints. Performs regular assessment of equipment maintenance and upgrades as needed. Regularly pursues training on current equipment management and state-of-the-art screening technology, so that when needs for technical support or equipment upgrades arise, the Theater Manager can advise on best practices going forward. Installs, tests, and operates computer software and hardware as needed. Recommends and initiates purchases of equipment; tracks receipt of equipment per appropriate accounting and control processes. Collects pre-authorizations for significant purchases, and submits purchases of standard equipment and supplies in UCSB's Gateway procurement system. Prepares cost estimates for equipment and services, and proposes budgetary alternatives when appropriate. Coordinates with vendors regarding warranties and technical support. Maintains inventory and resource data. Gathers and analyzes requests for new systems and equipment. Maintains state-of-the-art projection, sound, and lighting systems in order to provide an ideal environment for teaching students and screening the highest quality current and archival films, and hosting guests from academia and the creative industries.

    Administration and Collaboration (20%) :

    Administers facility support for both the CWC for scheduled events and the Film and Media Studies department for classroom support. Provides technical support and is available for consultation for other Film and Media Studies classrooms as needed in conjunction with ITS and Film and Media Studies staff. Provides orientation to the Pollock Theater and its equipment for all new instructors and teaching assistants each quarter. Provides orientation to the facility for all students and enforces policies on food, drink, and animals. If film prints from the University's collections are to be screened, ensures preparations are made with faculty and librarians. Tracks cumulative and per-event usage and cost data. Prepares annual and quarterly budgets and schedules for event support and for theater equipment maintenance. In coordination with police, fire and other safety officials, ensures compliance with university, state, and federal environmental health and safety regulations involving the usage of public spaces. Designs and implements security measures for equipment and facilities. Coordinates with campus Communications Services in maintenance of security cameras. Creates and implements procedures to maintain the facility in good condition; monitors facility conditions on an ongoing basis. Coordinates with Facilities Management regarding UCSB maintenance of the facility. Submits work orders for replacements and repairs as needed and on a regular basis, keeping the Business Officer and CWC Administrative Assistant informed about order progress and in reviewing costs. Works with Facilities Management to ensure the Pollock is clean for events. Partners with Environmental Health and Safety to ensure safety equipment is functional, up to date, and that staff are trained annually to use the equipment.

    Supervision (20%) :

    In conjunction with Carsey-Wolf staff, recruits applications in an open call and interviews student to work as paid staff to support Pollock Theater operations. Trains and supervises 10-15 paid student employees. Instructs students in best practices for live filming, sound recording, and post-production video editing. Reviews the edited video, providing timely feedback to the student editors and ensuring corrections are made until a final product is ready for distribution. Provides leadership training and mentoring to senior student assistants, ensuring students learn valuable professional skills and how to collaborate with other career staff and faculty. Manages scheduling for the 7-15 paid students for each of the events. Should student assistants be unavailable or unable to provide sufficient technical support, the Manager must be available to address challenges and provide solutions. Cross-trains career staff and student assistants in the CWC and Film and Media Studies department to operate the theater facilities to ensure continuity in operations.
