Position Summary
The role of the Enrollment Outreach Training Coordinator (EOTC) at Great Hearts is a multifaceted and dynamic position that blends support for internal teams with outreach coordination to the community.
Key Objectives of the EOTC :
Main Liaison for Registrars : The EOTC serves as the main point of contact for Registrars, providing guidance, training, meetings, and support.
Outreach : This includes developing and executing outreach efforts, attending community events, coordinating seasonal events, and using social media to engage prospective and current families.
Training : The EOTC will be responsible for training Registrars on key processes, systems (like School Axis and PowerSchool), and ensuring they understand the enrollment process, as well as compliance and audit requirements.
Compliance : Ensuring that all enrollment and student files comply with Arizona Department of Education (ADE) audit requirements, and maintaining alignment with ADM / budget requirements.
Duties & Responsibilities
Event Coordination : Help coordinate and identify community events, manage academy-sponsored activities, and collaborate with academy leadership on enrollment retention events.
Social Media & Content Support : Provide content suggestions, provide direction to campus regarding capturing photos and videos at key events, and ensure a steady stream of on-brand content across platforms to engage both prospective and current parents.
Retention & Nurturing Communications : Assist with communication strategies for prospective and current families, ensuring follow-ups for applications, enrollment, and re-enrollment.
Collaboration & Reporting : Work with the Registrars to meet administrative and budgetary requirements and assist with lead nurturing and seasonal retention communications.
Registrar Training & Support : Provide training for Registrars on processes and tools, ensuring they are well-prepared for annual audits and compliance regulations.
Qualifications, Competencies & Strengths
Education / Certification : Bachelor’s degree required preferably in Marketing or Communications.
Special Skills :
Experience with Microsoft Office (Excel, Word, Outlook, PowerPoint).
Experience in media relations with demonstrated ability to place stories with relevant media.
Skilled in managing the development of effective marketing and communications materials (publications, presentations, graphics, ads, etc.).
Demonstrated knowledge with Google Analytics, platforms, blogs, and the ability to learn new applications and systems.
Creative thinker who can develop ways to build and promote content, cross promote messages.
Superior written and verbal communication and presentation skills; oriented towards detail, thoroughness, and accuracy.
Experienced in designing and delivering training, creating comprehensive documentation, and developing user-friendly job aids to support learning and performance.
Additional Requirements
Type of fingerprint clearance : Must possess or obtain valid Arizona Department of Public Safety fingerprint clearance card.
Physical functions : Requires but is not limited to standing, sitting, repetitious hand and body movements, bending, squatting, and reaching. May be required to move or position equipment up to 20 pounds approximately.
Travel required : Must have the ability to travel locally to the various academies within the Phoenix metro area.
