What We’re Looking For : Position OverviewIMPACT STATEMENT | How does this position advance our vision and mission?

Equality Ohio is looking for our next Events & Volunteer Coordinator to provide support during Ohio’s busy Pride season and key organizational events. Pride is a special time of celebration, visibility, and action for our community, providing unique and critical opportunities for our organization to be in community with LGBTQ+ people and expand the reach of our education and organizing efforts.

Our Events & Volunteer Coordinator will support our presence at Pride celebrations across the state by coordinating materials, supplies, logistics, schedules, and volunteers related to the approximately two dozen festivals Equality Ohio will attend in 2025. This role will also support the management of Pride and events data in coordination with the Advocacy team and Director of Development. This role is an excellent fit for a high-energy individual passionate about community engagement and detailed project planning and implementation.

Contract Details

POINT OF CONTACT | Directory of Advocacy

CONTRACT FEES | $25 / hour for an average of 30 hours per week

CLASSIFICATION | Independent Contractor This position is structured as a part-time independent contractor joining EO’s Advocacy Team. The finalist will execute a contract with Equality Ohio Education Fund, submit invoices on a monthly or bi-monthly basis for payment, and develop their plan and schedule to meet the deliverables outlined below.

LOCATION | Columbus, Ohio The role will include travel within the state of Ohio to attend Pride festivals and provide support to staff for related events. The contractor will be reimbursed for mileage at the current IRS rate and lodging costs, should they be necessary.

START DATE | March 15 - August 15, with the possibility of an extension

Requirements

DELIVERABLES | What are the contracted activities, responsibilities, and deliverables?

  • Event Organization & Coordination
  • Coordinate a collaborative planning process to refresh and articulate EO’s goals and roles / responsibilities for the 2025 Pride Season.
  • Organize and maintain internal documents relating to the 2025 Pride season, including, but not limited to, registrations, schedules, supply lists, volunteer lists, and data collected during festivals.
  • Determine specific material needs for each Pride event and prepare and submit a budget for approval.
  • Order and coordinate delivery of materials, monitor material usage and re-orders, and develop plans to distribute materials to the appropriate staff members across the state of Ohio or locations over the course of the Pride season.
  • Support the annual review of and revisions to EO’s Pride safety plans, including developing and delivering training curriculum to staff and volunteers in coordination with the Advocacy Team.
  • Represent EO at Pride events, meetings, and webinars as needed.
  • Provide other Pride administrative and coordination tasks that arise during the course of the project.
  • Provide planning and logistics support to other key EO events.
  • Volunteer Recruitment & Training
  • Determine volunteer needs for each event and recruit volunteers in coordination with the Advocacy Team.
  • Train all volunteers, staff, and board members prior to their shifts
  • Regularly communicate clear, timely information to staff members and volunteers regarding their event shifts and related logistics, and provide timely updates when necessary.
  • Provide follow-up surveys with all volunteers on their experience..
  • Data Management & Entry
  • Ensure that electronic devices are setup correctly and actively working for each event to collect newsletter signups, and provide a paper backup option.
  • Verify information is entered correctly and synced with EO's internal database.
  • Ensure that all data collected via paper is entered into EO's internal database.
  • Communications
  • Act as the point of contact for the organization for all communication with Pride organizers and organizations.
  • Coordinate with the Communications Department to provide up-to-date and accurate pride event information and social media content (images, videos, etc.) for inclusion in our public communications.
  • Shared Organization Responsibilities
  • Upholding and advancing Equality Ohio’s vision, mission, and values.
  • Participation in internal staff meetings, including weekly Advocacy Team meetings and bi-weekly All-Staff meetings.
  • Adapting to and utilizing internal communications and document retention protocols and platforms.

QUALIFICATIONS | What backgrounds, skills, and experiences are we looking for?

Candidates are required to be / have :

  • An unwavering commitment to addressing the needs of LGBTQ+ Ohioans
  • Awareness of the issue priorities, policy battles, and experiences of LGBTQ+ Ohioans
  • 2+ years of experience in an office or campaign environment
  • Ability to work evenings and weekends as most Pride events take place on the weekends
  • Hold a valid driver’s license and access to a reliable vehicle with insurance
  • Have a passion for process creation and knowledge sharing
  • Excellent written communication and public speaking skills
  • Have the ability to work with diverse individuals in a fast-paced environment
  • Demonstrate reliability, creativity, versatility, organizational skills, and initiative
  • Able to physically lift and move equipment or materials, such as tables, tents, and boxes up to 50lbs
  • Be proficient with Google Workspace applications and Google Drive
  • We prefer but do not require the following qualifications and skills :

  • Direct experience working at an LGBTQ+ or trans-focused movement organization
  • Previous Pride festival experience (as a volunteer or organizer)
  • Experience with project management tools, including MOCHAs
  • Demonstrated experience delegating responsibilities across a variety of roles
  • Willingness to and comfort with making verbal and written appeals for monetary support
  • An understanding that the process of changing hearts and minds is not overnight or immediate, which is a core element of our theory of change
  • Familiarity with a CRM (Customer Relationship Management) system and experience with Every Action in particular
  • Spanish speaker

    As this position is an independent contractor, there is not a set work schedule. The consultant will work with Equality Ohio’s Interim Executive Director to determine how their time will be spent each week. In past years, this contractor has generally been available Wednesday - Sunday to conduct internal planning and coordination and to be present at Pride events. This position has averaged 30 hours per week over the summer; June is typically the busiest month, and contractors have occasionally worked up to 50 hours over the course of a week.

    Travel

    This contract is based in Columbus, and can work at Equality Ohio’s Columbus office. The role will include travel within the state of Ohio to attend Pride festivals and provide support to staff for related events. The Contractor should be able to travel independently across the state, sometimes overnight. In-state travel outside of Columbus is estimated at approximately five (5) times per month.

    Travel will be reimbursed or paid for directly per EO’s internal policies and expense report procedures. Mileage is reimbursed at the standard IRS rate.

    Physical Demands

    The nature of this position requires a mixture of physical activity and sedentary environments. Individuals must be able to physically lift and move equipment and materials, such as tables, tents, and boxes up to 50 lbs, set up and be present at tables and / or booths to represent the organization at Pride festivals. The tabling may be done seated or standing or in combination. As this position requires attendance at outdoor festivals, there will likely be instances where the person encounters weather and outdoor elements, temperature fluctuations, enclosed spaces, and noisy environments.
